Description:  Registration Secretary (High School)

Terms of Employment - Full time - 12 month employee

Reports to:  School Principal

Salary:  Current Secretary salary schedule

Minimum Qualifications:

  • High School Diploma or general education degree (GED) required.
  • Previous experience as a secretary or administrative assistant in an educational setting preferred.  
  • Experience with student information systems (e.g., eSchool, Infinite Campus, PowerSchool, or equivalent) preferred.
  • Experience with Google Workspace (Docs, Sheets, Forms, Gmail) required.
  • Strong computer, organizational, verbal, and written communication skills required.
  • Experience handling confidential student records in compliance with FERPA regulations preferred.
  • Experience with student enrollment, withdrawals, transfers, scheduling support, and records management preferred.
  • Ability to interact professionally and courteously with students, families, staff, and community members.
  • Experience with office equipment including multi-line phone systems, scanners, and copiers required.
  • Ability to work independently with minimal supervision.
  • Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities in a fast-paced environment.
  • Ability to maintain accuracy and attention to detail.
  • Bilingual communication skills preferred but not required. 

Essential Duties and Responsibilities:

  • Serves as the primary point of contact for student registration, enrollment, transfers, withdrawals, and residency verification.
  • Assists families with the registration process, including completing forms, collecting required documentation, and answering enrollment questions.
  • Reviews and verifies student enrollment records for accuracy and completeness.
  • Maintains accurate and confidential student cumulative files, transcripts, immunization records, and other required documents in compliance with district, state, and federal regulations.
  • Inputs and updates student demographic, attendance, scheduling, and enrollment information in the student information system.
  • Coordinates the records request process for incoming and outgoing students, including communication with sending/receiving schools.
  • Assists with state reporting requirements related to student enrollment, attendance, and withdrawals.
  • Maintains registration logs, enrollment reports, and other data as requested by administration.
  • Answers phones, greets visitors, and provides assistance to students, parents, and staff in a professional and welcoming manner.
  • Maintains a regular filing system and processes incoming correspondence as instructed.
  • Coordinates with counselors, nurses, administrators, transportation, and other staff to ensure a smooth onboarding process for new students.
  • Assists with school communication efforts related to enrollment, orientation, and student records.
  • Follows district and school policies and procedures related to student records, confidentiality, and office operations.
  • Provides clerical and administrative support to the school office as needed.
  • Performs other duties as assigned by the Principal.

  • Favorable Criminal Background Check and Child Abuse Registry Check for the candidate who is offered employment
  • Tuberculin Test and physical
  • Mandatory Direct Deposit of paycheck
