Description

Position Summary:  Under the supervision of the high school principal and superintendent, the District Data Coordinator supports the district’s mission by performing specialized clerical and technical tasks to complete a wide variety of state and federal reports related to student records and district-wide data and provides clerical assistance to the CTE administrator.  The District Data Coordinator provides effective customer service to a diverse population of staff, students, families, community members, and state agencies under occasionally stressful situations while maintaining a calm and professional demeanor in an atmosphere of warmth, cooperation, and service to others.  

Terms of Employment:  8 hours per day (7:30 a.m. - 4:00 p.m.) with a 30-minute unpaid lunch break; 210 days per year (when school is in session); this position typically works 12 days prior to the start of school and 8 days after the last student attendance day; extra hours for required training will be provided as needed

  • This position is covered by the SEIU Collective Bargaining Agreement.
  • The successful candidate for this position must be fingerprinted.  Employment is contingent upon a successful background check and clearance by the Washington State Patrol and Federal Bureau of Investigation.


ESSENTIAL FUNCTIONS

  • Coordinate submission of district-wide data to the Comprehensive Education Data and Research System (CEDARS); routinely monitor accuracy and collaborate with district staff to resolve data discrepancies in a timely manner
  • Compile data and complete a wide variety of state and federal reports related to student records including, but not limited to, the export and import of data in the district’s student information system, the state’s education data system, and state and local assessments
  • Report district-wide data in accordance with a variety of state and federal requirements including, but not limited to, Adjusted Cohort Graduation Application, Youth Re-Engagement, Immunization Compliance, State Report Cards, Federal Civil Rights Data Collection, and State Non-High Students
  • Define and document data collection standards that align with state and federal requirements; notify appropriate staff of policy and procedure changes
  • Collaborate with technology staff to ensure effective integration between the district’s student information system and the district’s software programs and devices
  • Implement data security regulations and best practices; inform appropriate staff
  • Manage assigned district-wide applications of the student information system, including the creation, maintenance and monitoring of user accounts and security access
  • Provide effective customer service to students, parents, and staff in the use of the district’s student information system
  • Perform year-end processes related to student records, including year-end reports and district data submissions; implement settings for the new year, create calendars, close the year, and roll schools up into the next school year 
  • Record district-wide student state test scores, SAT, ACT, and ASVAB results in the student information system
  • Perform data mining tasks and prepare complex reports for analysis and review by administrators and staff
  • Develop and implement procedures and training materials for applications within the student management system
  • Manage district calendars in the student management system for the purpose of ensuring the accuracy of attendance records, grading cycles, and student non-attendance days
  • Maintain district course offering frameworks for the purpose of ensuring the accuracy of state codes and graduation requirements
  • Provide clerical support to the CTE Administrator in the areas of reporting, frameworks, budgets, grant writing, and compliance 
  • Assist with community college connections for articulation and dual enrollment agreements
  • Assist with Career Technical Student Organizations (CTSO) start-up and implementation
  • Assist with business and industry partnerships for advisory committees, industry certifications, and project-based and work-based learning support
  • Perform all work in compliance with district policies and procedures, state and federal requirements
  • Attend professional development opportunities and user group meetings for the purpose of increasing skills and knowledge in the role
  • Communicate effectively with students, parents, staff and community partners
  • Attend required trainings
  • Maintain a neat, clean personal appearance and traits of a good role model for students; work apparel should be appropriate for a safe and professional work environment
  • Provide a safe learning environment for all students
  • Regular attendance to carry out the duties and responsibilities of the position
  • Perform other related duties as assigned

MINIMUM QUALIFICATIONS

Education, Training and Experience

  • High School Diploma or equivalent
  • A minimum of three (3) years successful business office experience
  • Previous clerical experience in a K-12 educational setting
  • Experience using student information systems, such as Skyward
  • Proficient database management skills
  • Advanced data entry, spreadsheet, and word processing skills
  • At the district’s discretion, education and training may be considered in lieu of experience
  • Successful completion of a basic skills assessment may be required prior to offer of employment

Knowledge, Skills, and Abilities
 
  • Possess a genuine enthusiasm for working with students, staff, and the community
  • Proficiency in the district’s student management software; advanced data mining and data entry skills
  • Strong attention to detail with an ability to review previously entered data in a detailed manner
  • Proficiency in a variety of common business office equipment  (e.g., phones, copiers, printers, etc.)
  • Proficiency in correct grammar, spelling and English usage; ability to compose, edit, and format correspondence 
  • Ability to access and work within computerized data systems and communicate on a technical level with technology support staff to easily relate technical information to non-technical system users
  • Willingness and ability to learn new systems
  • Ability to effectively communicate technical information to end users
  • Ability to participate in activities outside the normal workday
  • Demonstrated ability to communicate effectively both verbally and in writing with a diverse population of staff, students, families, and community members while maintaining a calm, professional demeanor and supporting an atmosphere of warmth, cooperation and service to others

  • Ability to maintain confidentiality in all district matters 
  • Understand and implement district safety procedures
  • Ability to incorporate working knowledge of Board Ends Policies E-1 through E-4 into daily practice
  • Ability to learn and follow building and district policies and procedures 

PREFERRED QUALIFICATIONS

  • College-level coursework
  • Previous experience with CEDARS
  • Previous experience working with data collection and reporting in an educational setting 

ADDITIONAL REQUIREMENTS

  • This job is performed in a school office environment.
  • Some lifting may be required; ability to occasionally lift at least 40 pounds with assistance is required
  • Some carrying, pushing and/or pulling; some stooping, kneeling, crouching, and/or crawling may be required
  • Significant fine finger dexterity is required

Salary:  The base wage is $25.45/hour after successful completion of a probationary period of 60 working days/480 hours of employment (whichever is less).  The probationary rate of pay is $22.90/hour.  Payrates thereafter are based on the SEIU salary schedule.

Benefits:  This position is eligible for a generous benefits package including medical, dental, and vision insurance for employees and their qualified dependents.  Employer-paid basic life, long-term disability, and AD & D insurance are available to the employee only.  Additional benefits include retirement through the Washington State Department of Retirement and optional supplemental benefits including supplemental life, long-term disability, FSA, DCAP, and deferred compensation.  Paid leave benefits include two (2) days of personal leave and ten (10)  days of sick leave per school year, pro-rated based on the employee's hire date.  Paid holidays include:  Veterans Day, Thanksgiving Day, the day following Thanksgiving Day, Christmas Day, New Year's Day, Martin Luther King Day, President's Day, and Memorial Day.  Juneteenth is a paid holiday when the holiday falls within the employee's work year.  Labor Day is a paid holiday when the start of school precedes the holiday or when an employee returns to a regularly scheduled work week or an approved scheduled day before the holiday.    Additional available paid leave benefits and terms of paid holidays are governed by the SEIU Collective Bargaining Agreement.
