SUPERVISES: None
FLSA Status: Hourly Non-Exempt
COMPENSATION: Based on Classified Pay Structure
WORK CALENDAR: 250
STANDARD HOURS: 8 Hours/Day, 40 Hours/Week
CORP STATUS: Classified
PERF: CPCSC is a Non-PERF district
 


ESSENTIAL FUNCTIONS:
Responsibilities and duties described here are representative of the knowledge, skills and abilities required to successfully perform the job of registrar. 
  1. Maintain confidential student records for past and present students.   Responsibilities include providing education verifications, transcripts, IEPs, immunization records for all former and current students as requested by student or outside agency with a signed release.  All requests for previous student records must be documented in Intact program.
  2. Process all grades in Synergy at the end of each semester and summer school.  Follow up with teachers who have missing or incomplete grades. 
  3. Enter all Central 9 Career Center grades at the end of each semester.
  4. Indiana Online Academy / Ivy Tech – enter grades for WCHS students who complete courses there.
  5. Update synergy and keep documentation of all grade changes as requested by teachers after grades have been posted.
  6. Update GPA and create honor roll reports.
  7. Provide failure reports to counselors and administrators.
  8. Enter all new student transcripts and tests scores from their previous school, matching courses with WCHS and IDOE course codes.
  9. Enter graduation date for final transcripts, print and file in senior perm file along with immunization record.
  10. Complete all requests on Parchment (online transcript and record verifications)
  11. Enter post grad info in synergy for the IDOE graduate report. Work with central office and director of guidance to complete report.
  12. Maintain accuracy of each cohort through IDOE data exchange, working with IDOE to make corrections.
  13. Upload SAT and PSAT scores into Synergy.
  14. Upload transcripts for students registering for the NCAA and NAIA.
  15. Enter GPAs, diploma type, and 21st scholar information into Scholartrack.
  16. Work as needed with Social Security Administration, Disability Determination, Department of Defense, and military personnel to provide requested records and complete reports in a timely manner.
  17. Transfer student records and withdraw students from Synergy with appropriate exit code.  Provide school records to new school.  Purge old record as needed. Notify appropriate staff.
  18. Provide grades, attendance, and discipline reports to DCS as requested and also confer with dean and counselors to provide additional information to caseworker.
  19. Order diplomas, covers and seals for graduation.  Create graduation program with student names, diploma type, awards received, and additional program information.   Place appropriate diploma seals on the diplomas.
  20. Obtain correct mailing address and updated proof of residence from parent when we receive returned mail.
  21. Access online IEP, 504 and ELL records for current and former students.
  22. Enter restraining orders and parent/guardian alerts into synergy notifications.
  23. Assist with other office tasks as needed such as entering attendance notes or providing e-hall passes to students.


QUALIFICATIONS:
  • High School Diploma or Equivalent required
  • Excellent communication and customer service skills required 
  • Prior administrative experience preferred 
  • Knowledge of modern office procedures and methods including multi-line phone systems, Google Suite, Microsoft Word, Excel, etc. required
  • Must have good attention to detail and independent problem solving skills 
  • Strong organizational skills with ability to multitask
