Description

ADMINISTRATIVE RULE - JOB DESCRIPTION
TITLE: Payroll & Benefits Administrative Assistant
QUALIFICATIONS: 1. Possesses well-developed computer skills, proficient with various data entry
and spreadsheet formats.
2. Ability to accurately enter data and maintain detailed records.
3. Ability and willingness to meet established deadlines.
4. Honesty, dependability, cooperativeness, initiative and confidentiality are
required.
5. Previous experience in a payroll/accounting field preferred.
COMMUNICATES WITH: Unit Office staff on a daily basis.
REPORTS TO: Superintendent and Business Manager
JOB GOAL: To assist the Business Manager with the tabulation and processing of
district payroll and benefit related functions. To devote maximum attention
and effort toward assisting unit office staff with clerical duties. To perform
usual office routines and practices associated with smooth running of
administrative office, and maintaining complete confidentiality.
PERFORMANCE RESPONSIBILITIES:
Payroll processing
1. Process bi-weekly payroll for all district employees– perform time card calculation and entry,
make contract and deduction adjustments, calculate extra-duty compensation, determine and enter
quarterly attendance-based and annual salary bonuses
2. Verify hours by cross-referencing with hourly assignment
3. Monitor all district employee attendance and post to HR/payroll system. Monitor accurate PTO
accrual and usage in accordance with the district’s collective bargaining agreement
4. Review and research payroll adjustments using payroll reports and reconcile discrepancies prior to
payroll processing
5. Maintain accurate information for all employee hours, leave balances, and payroll deductions
6. Create and maintain staff contract calendars and assist with salary schedule placement and
movement for all certified and classified staff including calculating annual longevity bonuses
7. Calculate, enter, and payout all extra curricular stipends for coaching, sponsoring, and building
leadership teams in accordance with the collective bargaining agreement
8. Assist in managing setup for all new hires and process all requested changes of tax and voluntary
deductions. Professionally and promptly respond to all staff payroll and HR inquiries.
Other duties
1. Monthly account reconciliations of Sherrard CUSD 200’s Imprest accounts and reconcile online
payments received through Infinite Campus
2. Monthly reconciliation of Sherrard CUSD 200’s Activity Accounts and monthly reports to all
administrators regarding activity account balances. Communicate with coaches and sponsors and
respond to inquiries regarding activity account balances
3. Assist in annual health, dental, vision, and voluntary insurance enrollments and manage employee
coverages and changes– ensuring accurate deductions entered and updated in SDS Web Office
4. Assist Unit Office staff in additional duties including monthly review of accounts payable checks
and quarterly reports for Boosters and Medicaid reimbursements
5. Complete annual EIS (Employee Information System) reports for the Illinois State Board of
Education
TERMS OF EMPLOYMENT: Work year to be established annually by the Board of Education.
COMPENSATION: To be set annually by the Board of Education.
EVALUATION: Performance will be evaluated annually by the Superintendent.
