TITLE: Payroll Analyst
CLASSIFICATION: Classified Hourly Salary Schedule
REPORTS TO: Payroll Supervisor
SUMMARY: The Payroll Analyst will process payroll data to ensure employees are paid accurately and on time, while maintaining compliance with laws and organizational policies. The analyst will also resolve payroll issues and collaborate with HR and finance to keep payroll records accurate and up to date.
PERFORMANCE RESPONSIBILITIES:
1. Provides support to the Payroll Supervisor by performing a variety of tasks related to employee payroll and the accuracy of fiscal transactions. Ensures proper control and reporting of costs to funds within the District.
2. Reviews employment contracts and agreements for validity and ensures the consistent maintenance of employee pay plans.
3. Integrates data from the timekeeping system (TCP) into the payroll processing system to ensure accurate and timely payroll calculations.
4. Audit and validate input data to ensure the integrity of financial ledgers, payroll reports, and employee leave balance records.
5. Review and verify the work of others to ensure compliance with established policies, procedures, and accuracy standards.
6. Prepare and enter data, perform calculations, and generate professional and accurate payroll and financial reports. Maintain accurate and up-to-date payroll records for all employees, including processing and verification of ePARs (electronic Personnel Action Requests), account codes, and applicable deductions.
7. Process remittances to appropriate agencies for all payroll deductions, including both employee and employer contributions.
8. Manages all aspects of direct deposits, including initiating changes, additions, and terminations. Maintains and updates employee payroll deduction records and processes filing change notices.
9. Complete VOEs (Verifications of Employment) and process additional forms or documentation as requested by the Payroll Supervisor. (Verifications of Employment) and process additional forms or documentation as requested by the Payroll Supervisor.
10. Assist with tasks related to the fiscal year rollover, including system updates and payroll processing adjustments.
11. Attend in-service training for continued professional development.
12. Perform other job-related duties as assigned.
EDUCATION: High school diploma or equivalency.
EXPERIENCE: Experience in payroll, financial data entry, or related work. Familiarity with computerized payroll or accounting systems, Microsoft Excel, and standard office software. Ability to learn and apply financial procedures, reconcile data, and maintain accurate records in a deadline-driven environment.
SKILLS/KNOWLEDGE/ABILITIES:
- Strong oral and written communication skills are required.
- A high level of English proficiency is required.
- Ability to communicate the department practices orally and in writing.
- Experience in processing payroll preferred.
- Ability to type 40 words per minute, to use 10-key calculator with a high degree of accuracy, and to use a computer for word processing, spreadsheets, and database systems.
- Ability to work with a high degree of accuracy, and attention to detail.
- Ability to use independent judgment in setting priorities and making decisions.
- Ability to use discretion in handling confidential information.
TERMS OF EMPLOYMENT: Twelve-month year, Classified Hourly Salary Schedule, employee benefits in accordance with Board policies.
EVALUATION: Performance to be evaluated in accordance with Board policy on evaluation of classified staff.
