FACILITIES ADMINISTRATIVE ASSISTANT

238 DAY CONTRACT, JULY 1-JUNE 30

INSURANCE, RETIREMENT, PAID TIME OFF BENEFITS

STARTING AT $51,172.00 DOE

2025-2026 COMPENSATION PACKAGE FOUND HERE 

 

REPORTS TO:

Executive Director of Activities and Facilities 

 

POSITION DESCRIPTION:

Performs a variety of complex administrative and clerical support duties. Requires excellent communication and interpersonal skills. Develops, implements and administers departmental office systems and procedures including but not limited to processing purchase orders; monitoring budgets; tracking expenditures and generating reports; Prepare spreadsheets for budgets and contracts; coordinates facility rental program, Provides general office record keeping. Duties require independent judgment with an understanding of Facilities Department functions, procedures and terminology. 

 

ESSENTIAL JOB FUNCTIONS: 

  • Develops, implements and administers departmental office systems and procedures. Establishes office procedures, policies and operations. Interprets and communicates policies and processes.

  • Monitors budgets including tracking expenditures and generating reports; preparing spreadsheets, reconciling accounts; prepares financial reports using accounting software.

  • Processes accounts payable including creating purchase orders.

  • Maintains accident records and generates monthly reports.

  • Reviews, assesses, routes, answers and monitors follow up action steps on correspondence.  Gathers and analyzes information required for administrative reporting.

  • Uses multiple technical applications including word processing, database management, spreadsheets, graphics and presentation software, electronic calendar, email and other applications. Uses the internet, may include web maintenance.

  • Manages complex calendars, arranges for meetings, and appointments.

  • Processes applications and payments for the Facility Rental Program.

  • Regularly receives and coordinates delivery of freight.

  • Assists with bid documents and contracts for new construction, remodel, maintenance repairs, and purchase of equipment and supplies. 

  • Assists with the distribution of building keys, printing of electronic keys and inventory management.

  • Assists with warehouse storage management.

  • Operates standard office machines and equipment.

  • Supports the Facilities Supervisor and Custodial Supervisor.

  • Performs other duties as assigned. 

 

KNOWLEDGE SKILLS, & ABILITIES:

  • Requires a thorough knowledge of office practice procedures and equipment to include filing systems, reception and telephone techniques, in conjunction with letter and report writing. 

  • Requires a working knowledge of those activities associated with budget, management and statistical record keeping. Requires a competence in computer based software programs that support this level of work, including but not limited to: word processing, spreadsheets, presentation graphics, and data entry into custom application systems. 

  • Must be skilled in using various standard office machines, including computers, fax machines, copiers, printers and calculators. Requires thorough knowledge of proper English usage, grammar, spelling and punctuation, along with good mathematical skills. 

 

PROFESSIONAL QUALIFICATIONS: 

  • A high school diploma or equivalent.

  • Valid Wyoming State Driver’s License.

  • A satisfactory outcome from a criminal background verification will be required prior to hire.

SCHEDULE

  • Generally 8:00am to 5:00pm Monday – Fridays. 

 

PHYSICAL DEMANDS:

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  • Must have the ability to maintain sufficient hand/eye coordination and manual dexterity in order to utilize keyboard at an advanced rate (about 60wpm).

  • Sufficient visual acuity to recognize words, letters and numbers. Must be able to twist, bend, kneel and stoop on a frequent basis. 

  • Needs to pick up and lift medium weight objects up to 30 pounds with the ability to occasionally lift up to 50 pounds.
