ESSENTIAL JOB FUNCTIONS (knowledge, skills, abilities, duties and responsibilities, physical conditions and nature of work, work environment):
 
KNOWLEDGE, SKILLS & ABILITIES:
  • High school diploma or general education (GED) certificate , two years of general office experience (preferably school-based), with one year of computerized databases.
  • Fluency in English and Spanish preferred.
  • Considerable knowledge of general office procedures, secretarial techniques, computer equipment usage and required software (Microsoft Office Suite),
  • Ability to communicate courteously and tactfully with students, teachers, parents, and the general public,
  • Must possess good organizational skills.
  • Ability to work in a fast-paced environment and to handle multiple tasks,
  • Ability to work independently with minimum amount of supervision and treat information with confidentiality,
  • Flexibility and ability to work well with others; ability to develop and maintain effective working relationships with faculty, students, and parents.
 
DUTIES AND RESPONSIBILITIES:
  • Complies with all school laws, State Board of Education regulations, and all policies and regulations made by the School Board and Superintendent.
  • Performs all duties deemed necessary by the School Board and Superintendent for the efficient and successful operation of the school system.
  • Demonstrates professional growth and attends all meetings called or approved by the Superintendent and/or Principal.
  • Performs other related duties as may be assigned by the principal, to ensure the efficient and effective functioning of the work unit.
  • Greets visitors to the guidance office and answers the telephone,
  • Performs all registration and transfer of student records.
  • Maintains student records and transcripts.
  • Verifies enrollment.
  • Directs and coordinates registration activities.
  • Issues official transcripts.
  • Provides Spanish language translation support, written and conversational, for building administrators, specialists, teachers and school nurse as needed,
  • Assists families with completing registration, enrollments, and scheduling screening appointments,
  • Maintains records/files/reports pertaining to such matters as enrollment, attendance, students, and prepares reports as required,
  • Prepares correspondence and other school related documents in English or Spanish,
  • Performs other duties as assigned.
 
PHYSICAL REQUIREMENTS
Must have the use of sensory skills in order to effectively communicate and interact with other staff and the public through the
use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment such as, but not limited to, a personal computer, calculator, copier, and fax machine. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions.
