Description
Accounting Clerk
Qualifications:
- High school diploma or equivalent required; associate degree, coursework, or training in accounting, business, office administration, or a related field preferred.
- Prior clerical, bookkeeping, accounts payable, payroll support, or school business office experience preferred. Proficiency in Microsoft Excel and Word required. Ability to learn financial accounting software and electronic record systems.
- Basic knowledge of accounting practices, office procedures, and recordkeeping. Strong attention to detail, accuracy, organization, and customer service. Ability to maintain confidentiality, meet deadlines, follow procedures, and work effectively as part of a team.
- Such alternatives to the above qualifications as the SOWIC Governing Board may find appropriate and acceptable.
Duties (not a complete list):
- Work collaboratively with the Bookkeeper to support the smooth and efficient operation of the accounting department.
- Enter, review, and maintain routine financial data in the Cooperative's accounting and recordkeeping systems with a high degree of accuracy.
- Receive, organize, match, and verify invoices, purchase orders, packing slips, approvals, and other supporting documentation before processing.
- Assist with accounts payable functions, including vendor file maintenance, invoice entry, payment documentation, check preparation, and distribution, as assigned.
- Assist with accounts receivable functions, including preparation of routine billings, posting receipts, maintaining supporting documentation, and following up on discrepancies as directed.
- Assist with the preparation of deposits and maintain accurate documentation of cash receipts, checks, and electronic payments.
- Collect, review for completeness, organize, and enter timekeeping or payroll-related information as assigned; refer discrepancies and approval issues to the appropriate supervisor or Bookkeeper.
- Maintain orderly electronic and paper files for financial transactions, contracts, purchasing, payroll support, grants, audits, and other business office records in accordance with established procedures and record-retention requirements.
- Prepare routine spreadsheets, lists, reports, correspondence, labels, and forms for the accounting department.
- Reconcile routine records, reports, or transaction listings to supporting documentation; identify differences and promptly refer unresolved items to the Bookkeeper.
- Respond to routine questions from staff and vendors and route matters requiring interpretation, approval, or accounting judgment to the Bookkeeper or administrator.
- Assist in gathering and organizing documentation for monthly and year-end closing, audits, grants, tuition billing, mandated reports, and other accounting activities.
- Monitor assigned deadlines and communicate missing documentation or needed approvals to appropriate staff.
- Follow established internal controls, approval processes, Governing Board policies, administrative procedures, and applicable confidentiality requirements.
- Cross-train in additional accounting functions and assume expanded responsibilities as assigned based on departmental needs, demonstrated proficiency, and training.
- Perform other duties as assigned that support the operations of the Cooperative and accounting department.
- Organize work, set priorities, manage multiple assignments, and meet schedules and deadlines.
- Exercise good judgment, ask questions when information is incomplete, and refer complex matters appropriately.
- Work independently on assigned clerical tasks and collaboratively as a member of the accounting team.
Salary:
Salary based on experience, starting $47,000. 12-month position, paid holidays and benefits in accordance with SOWIC Governing Board Policy.
