JOB DESCRIPTION
Position Title: High School Secretary - Attendance Clerk
Reports To: Building Principal(s)
FLSA Status: Non-Exempt
Work Calendar: School-Year Calendar
Position Summary
The Attendance/ Front Office Secretary provides comprehensive administrative and clerical support to building leadership while ensuring efficient front office operations. This position serves as the primary point of contact for students, staff, families, and the community, and supports communication, scheduling, reporting, and event coordination to promote effective school operations.
Essential Duties and Responsibilities

Office Management & Customer Service
- Manage front office operations, including visitor check-in and building access
- Answer and direct phone calls; provide information and assistance to students, staff, and families
- Support daily student needs (attendance tracking, late passes, call slips, dismissals)
- Monitor building security systems, including cameras, as assigned
Administrative Support
- Provide direct administrative support to Principals
- Schedule meetings, maintain calendars, and coordinate appointments
- Prepare reports, correspondence, and other documents
- Coordinate daily staff absence coverage and manage substitute assignments
Communication & Information Management
- Maintain and update the school website and digital communication platforms
- Prepare and distribute daily announcements and weekly communications
- Manage social media and accessibility communications in alignment with district guidelines
- Post updates to school communication systems (e.g., Schoology)
Programs, Activities & Events
- Support coordination of school events, including graduation and major programs
- Coordinate logistics with vendors and community partners
- Schedule facility use and submit maintenance requests through district systems
Safety & Compliance
- Coordinate and schedule safety drills; communicate with appropriate agencies
- Participate in school safety team meetings and initiatives
Inventory, Supplies & Equipment
- Monitor and order office and school supplies
- Maintain office equipment and coordinate service requests
Additional Responsibilities
- Support school nurse and student services as needed
- Assist staff and administration with projects and daily operational needs
- Perform other duties as assigned
Qualifications
Education and Experience:
- High school diploma or equivalent required
- Previous clerical, administrative, or school office experience preferred
Knowledge, Skills, and Abilities:
- Strong organizational and time management skills
- Excellent interpersonal, written, and verbal communication skills
- Ability to manage multiple tasks and interruptions in a fast-paced environment
- Proficiency in standard office software and willingness to learn district systems
- Ability to maintain confidentiality and demonstrate professionalism
Working Conditions
- Primarily office-based in a school environment
- Frequent interaction with students, staff, and the public
- May require extended periods of sitting, standing, and computer use
Physical Requirements
- Ability to perform typical office tasks, including typing, filing, and lifting light materials (up to 25 lbs.)
Terms of Employment
- Salary and benefits in accordance with district policies and negotiated agreements
- Evaluation conducted in accordance with district procedures
