Description
The Office Manager at KASE Academy provides vital administrative and clerical support to ensure smooth campus operations, with responsibilities spanning secretarial duties and PEIMS data management. The role requires exceptional organizational skills, attention to detail, and a commitment to maintaining confidentiality.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration or PEIMS management preferred.
- Proficiency in office software, including Microsoft Office Suite and database systems.
- Strong organizational, communication, and interpersonal skills.
- Ability to prioritize tasks, meet deadlines, and work effectively in a dynamic environment.
- Knowledge of PEIMS data standards and reporting requirements is highly desirable.
Duties and Responsibilities:
Secretary Duties/Responsibilities:
- Payroll Reconciliation and Reporting:
Ensure accurate reconciliation and reporting of payroll records, meeting deadlines and compliance standards. - Frontline Reconciliation and Reporting:
Maintain and update records within the Frontline system, ensuring data accuracy and timely reporting. - Confidentiality:
Handle sensitive information and documentation with the utmost confidentiality and professionalism. - KASE Intake Meetings:
Schedule and coordinate intake meetings for KASE Academy students, managing calendars and related communications. - Cross-Training:
Collaborate with and cross-train in the duties of the attendance clerk/receptionist to ensure seamless operational support during absences.
PEIMS Clerk Duties/Responsibilities:
- PEIMS Data Management:
Collect, enter, and verify PEIMS data in compliance with established database procedures and accuracy standards. - Reporting and Documentation:
Prepare and distribute reports such as grades, class rosters, and end-of-semester summaries, ensuring timely delivery. - Record Maintenance:
Manage physical and electronic student records, including cumulative folders, progress reports, class rosters, grade books, and schedule changes as needed. - New Student Processing:
Facilitate the processing of new student records by requesting, organizing, and entering data into appropriate databases. - Student Information Requests:
Handle and process requests for student information, including transcripts, ensuring compliance with district and state policies. - Office Assistance:
Support the campus office with administrative tasks, including general office duties, as needed. - State Reporting Accuracy:
Partner with the attendance clerk to verify and prepare reports ensuring accurate optional flex time minutes for state reporting. - Confidentiality:
Maintain the confidentiality of all student and staff records and data in accordance with district policies.
Supervisory Responsibilities: None.
*Minimum Salary $19.25 hourly
*Salary is commensurate with experience
*Works 226 Day Calendar
* This position requires on-site, in-person work and does not offer remote work options.
