Secretary to Assistant Principals

Position Purpose 

To assist the 4 Assistant Principals to assure the smooth and efficient operation of the administration office.

Essential Job Functions

  • Maintains spreadsheet is accurate daily with what staff members are out, their classes, and what guest teacher is covering
  • Ensures that the staff member has entered their time off correctly in Frontline to be able to get a guest teacher and properly paid time off
  • Calls and texts guest teachers to try and get coverage when positions have not been filled
  • Guest teacher packets that include daily schedule, instructions for the classroom, attendance forms, and room rosters
  • Ensures that all certified staff time is entered correctly in Frontline and matches payroll records
  • Collects all time-off sheets and ensures requested time off matches payroll records
  • Covers all receptionist duties at the receptionist desk for the day, in addition to covering the 1st week of Fall and Spring Break, along with 2-3 weeks of coverage over Summer Break
  • Coordinator for the scholastic program including set up/clean up, collection of student information, brochure design and creation, along with serving refreshments
  • Intersession coordinator which includes setting up spreadsheet with required student information, organizing room lists and letters, coding in Skyward and responsible for purchasing of all intersession awards and prizes
  • Responsible for alumni of the year committee
  • Creates new hire packets, including updating forms and information for new staff, along with training staff on time off request in Frontline and other system login information
  • Prepares spreadsheet and tracks information for staff parking tags
  • Develops student parking permit form yearly and creates a spreadsheet for tracking student and vehicle information.
  • Explains parking rules to students and works with administration and Perry Township Police Department as needed
  • Maintains spreadsheet for DHH Interpreters and coverage required for absences
  • Acts as the main contact for coaches, music chairs, and other staff that have DHH students, in addition to gather information and schedules for DHH students involved in extracurricular activities.
  • Creates report for A/B Honor Roll students and creates certificates for all "A" students
  • Coordinates A/B Honor Roll parties by setting up, tearing down, ordering food and preparing lists and certificates for students.
  • Assist with other duties as assigned.

Equipment 
Use standard office equipment such as personal computers, printer, copier and fax machines, calculator, and telephone.

Travel Requirements 
Travel to school district buildings and professional meetings as required.

Pay Rate
$17.85 per hour.

Work Schedule
8 hours per day.
220 days per year.

  • Receptionist skills.
  • Good oral and written communication skills.
  • Purchasing and Payroll Experience.
  • The ability to manage several projects.
