Description
Enrollment Coordinator, 8 hours a day for 260 Contract Days, Year Round. 

Job Summary:
The Enrollment Coordinator serves as the primary facilitator for student placement and record integrity across SouthWest Metro's diverse educational programs. This role provides essential administrative and analytical support by managing the full lifecycle of student data, from initial referral and registration to the maintenance of complex academic records and transcripts. Working year-round, the Coordinator ensures compliance with state and federal regulations while utilizing advanced technologies—including AI, Google Suite, and school information systems—to extract data and generate reports that support district operations. This position serves as a vital liaison among the district, member districts, and external agencies, requiring the highest level of professionalism, discretion, and communication to help learners access supportive educational environments.
 

  • Student Records Administration & Communication
  • Register and withdraw students according to established procedures
  • Facilitate referral processes for other specialized educational programs (i.e. ALC, Elevate Online)
  • Facilitate referral meeting for SWMetro 288 Setting 4 programming
  • Connect with the referring district or school to initiate placement/enrollment
  • Collaborate with departments to develop the academic year schedule.
  • Monitor student academic data in coordination with the district grading, assessment, and reporting procedures.
  • Assist in the maintenance of current, permanent, and accurate student records, including but not limited to IEPs, grades, test scores, transcripts, immunization records, cumulative folders and all general student data. Provide information as requested per records release procedures.
  • Process information requested by armed services, U.S. Immigration Service, foreign exchange programs and law enforcement agencies.
  • Communicate by phone and facsimile with other schools or outside agencies regarding student records as needed; maintain and mail all transcript requests; process senior transcripts for college entrance and scholarships.

Data Management 

  • Timely and accurate entry of student and family personal demographic information in school information systems; audit, modify, update and amend data and enrollment status changes in a timely manner to ensure data integrity.
  • Audit, modify and amend data in the student information system to ensure data integrity.
  • Daily maintenance of the database for Setting 4 Referrals,
  • Support requests for student related data extraction from the student information systems.
  • Run queries and reports for staff as requested.


Project Management & Compliance

  • Create student registration materials, distribute, and compile results.
  • Interpret, apply and explain provisions of student referral to Setting 4 with Directors.
  • Interpret, apply and explain provisions of federal and state regulations related to admissions and records.
  • Track changes in enrollment (withdrawals, attendance drops, etc.) in Infinite Campus.
  • Assist in the maintenance of current lists of enrolled students.

Other Duties
Perform additional responsibilities as needed to support district leadership and operations.

Qualifications:

  • Bachelor's degree with coursework in special education, or related field, and considerable experience in student assessment and placement programs, or equivalent combination of education and experience;
  • Preferred license in Special Education or Related Services;
  • The preferred candidate would be pursuing the Minnesota license for Director of Special Education;
  • Thorough understanding of district policies, practices, and procedures;
  • Comprehensive knowledge of due process procedures, behavioral and assessment data management, disability categories and education placement impact, neuropsychological evaluations and mental health diagnostic assessments, education reporting requirements, education processes and best practices;
  • Ability to establish and maintain effective working relationships with staff, students, parents, partnered agencies, and the greater community;
  • Experience handling confidential information with discretion and professionalism.
  • Strong verbal and written communication skills across various platforms (phone, email, in-person).
  • Exceptional time management and organizational skills with the ability to prioritize tasks proactively.
  • Knowledge of office procedures; and, familiarity with online calendars and cloud systems;
  • Advanced skills using Google Suite, AI Technologies, Microsoft Suite, other Information Database Systems;
  • Knowledge of current state and federal special education law and regulations.

Pay & Benefits
The pay range for this position is $80,000-$113,000 annually, based on experience.
