Job Title: High School Registrar
FLSA: Non-Exempt
Job Objective:
The High School Registrar assists the counseling office with the management of documentation and processes required for student registration and graduation as well as the maintenance of student records. Additionally, to aid with student course scheduling processes and clerical responsibilities required for the effective operation of the Counseling department.
Minimum Qualifications:
- High School Diploma or equivalent
- At least three years successful clerical experience
- Such alternatives to the above qualifications as the Superintendent or designee may find acceptable
Responsibilities and Essential Functions:

Essential duties and responsibilities may include, but are not limited to, the following:
- Serves as a customer service representative to school personnel and parents
- Answers incoming calls and responds promptly and appropriately to requests for information
- Establishes and maintains satisfactory, respectful working relationships with the administration, counselors, faculty, and staff
- Aides in scheduling of appointments, meetings, and events pertinent to the operation of the Counseling Department including, but not limited to, parent conferences, student conferences, and school tours
- Compiles and processes a wide variety of documents and materials for the purpose of supporting program activities, disseminating information/materials, and maintaining compliance with program, district, state, and/or federal requirements including, but not limited to, graduation, student program applications, updates to cumulative records, and summer school processes
- Manages correspondence requesting and requiring delivery of student records for both internal and external entities
- Maintains confidential files and confidentiality with regards to student and staff information
- Processes purchase order requests, orders, and payments required of the Counseling Department
- Performs other duties as assigned by the Counseling Department or Administration
- Coordinate with ESE secretary and 504 secretary to aid in the coordination of IEP and 504 meetings and requirements
- Coordinate with other office staff to maintain student and parent traffic in the Counseling office to ensure an orderly, safe, and confidential environment
Skills and Abilities Required:
- Proficient in Microsoft programs to include Word, Excel, Outlook, and other word processing applications
- Proficient in Google Applications including Calendar, Docs, Sheets, Drive and other applications with might be necessary
- Experience with Naviance (preferred)
- Ability to communicate effectively by oral and written means
- Knowledge of basic office procedures and equipment
- Knowledge of financial coding and purchase order processing
Evaluation: Performance of this job will be evaluated annually in accordance with provisions of the GMSD Human Resources Department.
Reports to: High School Vice Principal and Principal
Supervisory Responsibility: This position has no supervisory responsibilities
Working Conditions:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Additional physical demands are as follows:
- Ability to sit for extended periods of time
- Standing for limited periods of time
- Frequent bending, stooping, twisting, reaching, grasping
- Light lifting - up to 15 pounds
- Frequent carrying - up to 15 pounds
- Manual dexterity to prepare mailings and/or use office equipment
- Repetitive movement of fingers and hands for keyboarding
