Description

Job Title: Program/Department Secretary 
Location: Browning Public Schools, Maintenance Department
Status: Classified, Non-Exempt (Hourly)
Starting Hourly Rate: $23.80 -- $25.41; DOE
Benefits: Retirement, Earned Sick and Annual Leave, and Health Insurance (currently paid for by BPS)
Start Date: 7/1/26 (may be adjusted for training)

We are looking for a friendly, organized, and dependable person to join our team. As the Program/Department Secretary, you are often the first person with whom visitors and callers interact. You will play a key role in helping our program or department run smoothly by handling paperwork, managing the office, and supporting your supervisor and coworkers.
What You Will Do (Your Key Responsibilities):
    Be the Front Desk Contact: Greet visitors, answer the phone, take messages, and direct people to the right place. You help create a welcoming environment.
    Handle Documents: Use a computer to create, edit, and print letters, forms, and reports. You will also sort incoming mail and prepare outgoing mail.
    Work with Data: Enter information into databases and spreadsheets. You may help with financial data entry and run basic reports.
    Support Meetings: Help schedule meetings, get the room ready, set up equipment, and gather materials. You may be asked to take notes (minutes) during meetings.
    Keep Things Organized: Set up and maintain filing systems (paper and digital). You will look up information for your supervisor or coworkers when needed.
    Help with Payroll & HR: Prepare personnel forms and help keep accurate payroll records by entering data into the computer system.
    Order Supplies: Keep the office stocked with the supplies it needs (paper, pens, toner, etc.). You will issue supplies to staff as needed.
    Track Budgets: Assist with basic bookkeeping and monitor budget accounts to make sure spending is on track.
    Maintain Confidentiality: You will handle sensitive information (personnel, financial, student, or legal records). You must keep this information private and secure.
    Work as a Team: Sometimes you may need to help other secretaries or clerks when they are out or busy.
 

Who You Will Work With:
    Supervisor: You will report to the Program/Department Administrator(s).
    Coworkers: You will work closely with other office staff, teachers, and administrators.
 

What We Are Looking For:
To be successful in this role, you need a mix of experience, skills, and personal qualities.
Minimum Qualifications (You Must Have):
    Education: High school diploma or equivalent (GED).
    Experience: At least 1 year of education or experience working in an office or secretarial role.
    Computer Skills:
o    Comfortable using a desktop computer (Windows preferred).
o    Able to use Microsoft Word (or similar) to type documents.
o    Able to use spreadsheets or databases to enter and find information.
    Office Knowledge:
o    Familiar with general office policies (like personnel, finance, or records rules).
o    Can operate standard office equipment (copier, fax machine, printer, calculator).
    Language Skills:
o    Good spelling, grammar, and punctuation.
o    Good typing skills.
    People Skills:
o    Good communication skills (verbal and written).
o    Able to work well with others.
o    Able to work without someone standing over you.
o    Accurate and pays attention to details.
o    Can stay focused even when the office is busy or interrupted.
 

Nice to Have (Desirable):
    Experience working in a school district or school office.
 

Work Environment:
    This job is performed in a standard office setting.
    You will sit at a desk and use a computer for much of the day.
    There will be regular interruptions from phone calls and visitors.
