Virginia F. Wood Early Learning Center Director's Secretary 

(Duties to be assigned by director) 

Supervisor: Director and Assistant Directors  

Terms: 247 days/7.5 hours per day 

Job Summary: 

  • Assist with front desk duties such as, but not limited to, monitoring the door, greeting visitors, answering phones, completing and monitoring maintenance requests, and checking Safe Visitors when guests arrive.
  • Schedule and post appointments to administrator(s) calendar(s) as requested
  • Complete PowerSchool tasks including checking daily attendance, entering special education forms as needed, monitor student enrollments, and communicate with parents and staff as needed.
  • Serve as the manager of building correspondence - email, website, weekly newsletter, waiting area announcements, etc.
  • Maintain special education student records and cumulative files. Check and prepare the files to send to receiving elementary school annually.
  • Process student enrollments and withdrawals for developmental preschool.
  • Schedule and maintain school calendar including reserving conference rooms and posting daily schedules outside of conference rooms. Help with room set up as needed for events.
  • Work with administrator(s) to compile information and complete state reports
  • Assist director and assistant directors with correspondence - electronic, written, and complete other requested tasks daily.
  • Act as the contact for yearly student photos and distribute materials as needed.
  • Will share the duty of maintaining non-certified staff timesheets.
  • Serve as the building substitute teaching coordinator, monitor staff absences, and support organizing room coverage.
  • Will serve as a member of the building safety team.
  • Collect, sort, and distribute US mail as well as interoffice mail.
  • Maintain staff phone listings
  • Communicate student information changes to bus drivers/transportation and assist with buses as needed.
  • Maintain all office machines and complete monthly inventory of supplies.
  • Perform other duties as assigned.

 

Qualifications, Skills, and Abilities: 

1. Must be dependable, professional, and able to maintain confidentiality. 

2. Possess interpersonal skills. 

3. Ability to plan, organize, and problem solve. 

4. Knowledge of various software programs, especially Google Suite 

5. Excellent telephone techniques and reception skills. 

6. Ability to communicate effectively orally and in writing.
