Athletic Director Secretary
Description
Primary Purpose:
Organize and manage the routine work activities of the athletic department office and provide clerical services to the department head and other staff members.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Proficient skills in keyboarding, word processing, and file maintenance
Effective communication and interpersonal skills
Basic math skills
Ability to use personal computer and software to develop spreadsheets and databases and do word processing
Experience:
Three years' secretarial experience, preferably in a public education environment
Major Responsibilities and Duties:
Records, Reports, and Correspondence
- Prepare correspondence, forms, reports, etc., for the department head and other department staff members using personal computer.
- Compile pertinent data as needed when preparing various state and local reports.
- Maintain physical and computerized departmental files.
Facility
- Process and schedule all facility request for utilizing athletic facilities and fields
- Determine appropriate charges for athletic related facility rentals per District approved fee schedules
- Submit maintenance work order request for athletic facilities and fields
Budget and Accounting
- Prepare and process purchase orders for athletic and security related needs
- Prepare cash boxes for athletic events and make deposits of athletic cash receipts
- Process paperwork necessary for payment of athletic event workers and officials
Security General Duties
- Assist with scheduling and arranging payment for all contracted security officers
- Prepare purchase orders for security related supplies and services as needed
Athletic General Duties
- Arrange for athletic student travel needs with the Transportation Department and external entities as needed
- Maintain website communications for the athletic programs of the District
- Schedule administrators for athletic event duty assignments
- Assist with planning all annual athletic events including banquets, parades
- Arrange "All Call" assignments as needed by the Athletic Director
Other
- Assist the Maintenance Director with projects as needed
- Maintain confidentiality of information.
- Follow established safety procedures and techniques.
- Report promptly to the supervisor any accident or illness of staff or students.
- Other duties as assigned by administration.
- Promote, participate, and facilitate in a teamwork center manner.
Supervisory Responsibilities:
None.

Personal computer, printer, calculator, copier, and fax machine.

Work with frequent interruptions, maintain emotional control under stress. Repetitive hand motions; prolonged use of computer.
