Elementary School Building Secretary

Summary: Community Consolidated School District 89 is seeking a full-time Building Secretary at Park View Elementary School. The role of the Building Secretary is to assist the Building Principal and work as a facilitator for the school/public being served by communicating information, problem solving, material acquisition, cash handling, record keeping and building permits. In addition, the secretary is frequently in contact with most staff and visitors for the school district and must represent the district by demonstrating courtesy, respect and enthusiasm.
Essential Duties and Responsibilities: Other duties may be assigned.
- Makes decisions and demonstrates actions that support the mission, vision, goals and interests of the district and of students. Communicates, collaborates, and cooperates with colleagues, supervisors, staff, parents and students.
- Receive all staff and visitors in a manner which indicates knowledge of school district policies and procedures.
- Maintains school records and files for building, principal and related requirements. Prepares monthly calendar items for the school newsletter, teachers and school website.
- Maintains current class lists and family distribution lists for the principal, nurse and teachers as needed throughout the course of the school year.
- Orders, processes, and maintains office materials and equipment. Operates standard office equipment. Works with Business office to process purchase order numbers, petty cash as delegated by the principal
- Assists with the preparation of school registration materials, processing of registration payments as well as the copying and distribution of Parent/Student Handbooks.
- Prepares and distributes official notices of early dismissal, School Improvement Days, Institute Days, School Vacation Days and parking changes as assigned by the Principal.
- Assists with standardized testing or student assessment procedures including preparation of the test booklets, distribution and collection of the test materials, and filing student performance results. Files State reports as directed.
- Maintains office processes including responding to in-coming telephone calls, monitoring the building front door, copying materials for the principal and staff as needed, distribution of approved notices and agendas, maintenance of the school/student database, processes field trip request forms, and preparation of various lists, forms and correspondence related to the administration of the school.
- Perform any other duties as may be requested by the building administration.
Supervisory Responsibilities: This job has no supervisory responsibilities. If designated by the Principal, delegates work assignments to other office staff and supervises their job performance.

Qualification Requirements:
- Completion of requirements for a high school diploma is required.
- Experience in a school office setting is preferred.
- College coursework in English, composition, business office communications is preferred.
- The experience in a similar position in fast-paced office setting.
- Demonstrated ability to meet and greet visitors, either in-person or via the telephone or within electronic correspondence, with courtesy, respect, and enthusiasm.
- Experience with electronic office software, e.g., MS Word, MS Excel, using Apple computers.
Skills Required:
- Ability to read, interpret and write printed and verbal information. Ability to write professional correspondence. Ability to speak effectively with the public and staff.
- Ability to calculate figures and amounts using mathematics related to school district information.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
- Ability to communicate clearly and concisely, both orally and in writing. Ability to perform duties with awareness of all district requirements and Board policies.
- Keyboarding or typing abilities more than 50 words per minute.
Physical Demands:
- While performing the duties of this job, the employee is regularly required to talk or hear.
- The employee frequently is required to stand, walk, operate a computer, sit, and to reach with hands and arms.
- The employee must occasionally lift and/or move up to 30 pounds, such as state reporting documents.
- Specific vision abilities required by this job include close vision, distance vision, peripheral vision and the ability to adjust focus. Long-term use of computer monitors is required.
- The position requires meeting deadlines with severe time constraints, interacting with the public and staff, regular or extended work hours.
Work Environment:
- Work Environment: The noise level in the work environment is usually moderate.
- Work is usually conducted indoors. This work is done at one school district location

Salary and Benefits: All non-certified staff that fall under the Support Professional Association "SPA" are placed on a salary schedule according to position and experience as part of the Collective Bargaining Agreement. The hourly range for this position is: $22.00 - $25.75.
Non-Certified staff experience 12 sick days and 2 personal days of paid time off. All full-time staff have the privilege of partaking in our health and dental insurance programs; these include 90% Board paid health insurance for the employee and 100% Board paid dental insurance for the individual staff member.
