Position: Administrative Assistant II - Payroll
Location: Administrative Building
Start Date: As Soon As Possible
Reports to: Payroll Manager
Work Year: 12 months
POSITION GOAL:
The Financial Secretary in payroll creates and sustains an educational environment conducive to the fulfillment of the District's Mission and Vision so that maximum positive impact on the education of children can be realized. Financial secretaries in the Payroll Department receive and process payroll information in compliance with applicable District, State and Federal policies, procedures and regulations. This position may also assist in developing payroll processes, workflow and office procedures and perform payroll analysis and research when applicable.
MINIMUM REQUIREMENTS:
The requirements listed below are representative of the knowledge, skill and/or ability required:
- Experience in PHRST is preferred.
- Proficient using information systems to access, enter, update, modify and report employee information.
- Intermediate to proficient knowledge of Microsoft Office.
- Demonstrates an ability to manage competing priorities within sacrificing quality and/or accuracy.
- Demonstrates an understanding of payroll function; payroll experience highly preferred.
- Demonstrates understanding and ability to perform job related tasks.
- Acceptable Criminal Background Report and no entries on Child Abuse Registry.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
To perform the duties successfully an individual must be able to perform the essential duties and responsibilities related to the District at a consistent and high-level of performance. Reasonable accommodations may be made to enable individuals with disabilities to perform these functions.
- Process payroll related documents and new hire entries in PHRST for all new hires across all the classified employment groups.
- Process payroll related documents in PHRST for all employees as changes are submitted.
- Assist in the review and processing of payroll for all employees.
- Responsible for managing the payroll mailbox to include informational emails, responding to inquiries, documents and communications.
- Copy, scan, email and mail payroll documents as required.
- Maintain an organized, professional environment.
- Support and assist with all department aspects.
- Manage payroll phone line.
- Maintain payroll spreadsheets and files.
- Handle request from the Department of Labor, Pension and PHRST
- Assist Payroll Specialist with IPFA/PFA, sub billing, timesheet entry, transportation bid run and any additional payroll tasks.
- Review and analyze documents, spreadsheets and entry information for accuracy and compliance with applicable laws, rules and regulations.
- Other Duties - Shall perform other tasks and assume other responsibilities as may be assigned.
- Regular attendance is an essential function of the position.
