Position Description
We are looking for a positive, relationship-focused individual to serve as our Building Secretary. Under the direct supervision of the Building Principal, this person will perform the usual office routines and practices associated with a busy yet productive and smoothly run office and maintain a friendly, cooperative, collaborative, and helpful attitude, demeanor, and behavior toward all students, families, staff, and colleagues of the school.
Salary
- Compensation (based on 100% FTE): $16.40-$25.63/hour depending on experience
- Scheduled Weekly Hours: 40

Essential Job Functions
- Maintains a high level of ethical behavior and confidentiality of information.
- Confer with administrators, staff and, when appropriate, students and/or families regarding various issues including fees, payment plans, lunch payments, etc.
- Receives and routes incoming telephone calls for the administration and staff and records messages when necessary.
- Maintains the Principal's calendar and schedules meetings as appropriate.
- Assist with the logistics associated with the needs of the principal regarding events hosted by the school.
- Assist with such large group activities during school hours such as emergency drills, bus duty, lunch duty, and assemblies as needed by the administrator.
- Assist the administrative designee as appropriate in a decision-making capacity concerning emergencies in the absence of the Principal
- Coordinates and assists with student registration and parent/teacher conferences
- Coordinates the daily management of guest staff and maintains accurate daily staff attendance records using the appropriate online system.
- Ensure coverage for certified/classified staff assignments and assist guest staff assigned in the absence of regular staff.
- Completes and/or assists with school year report forms as designated by the Superintendent and/or principal.
- Prepares reports as necessary for District Administration Office. File documents requested.
- Maintain accurate records of staff records: including demographics, assignments, and attendance.
- Maintain such student records as shall be required
- Prepare requisitions and records purchases appropriately
- Monitor school budget and expenditures, regularly advising the school administrator and others of account balances.
- Collect/record keys, money, etc.
- Maintain appropriate building level supplies/materials inventory, including keys
- Assist with students in the office, i.e. completing incident reports, using calming activities, and redirect as appropriate, etc.
- Assists teachers in preparing instructional materials requests, purchase orders, work orders, leave requests, etc.
- Train staff in the use of attendance programs and protocols around ordering, spending, scheduling field trips, etc.
- Assist with the coordination of field trips and buses.
- Operate various office equipment to include copiers, laminators, communication and computer systems.
- Train designated staff on the use of office equipment to include copiers, laminators, communication and computer systems.
- Administer approved medications to students according to school policy and records appropriately.
- Assist students with physical needs, injuries, and/or illness in the absence of the school nurse.
- Participate in inservice training programs as assigned.

Travel Requirements
Travel between schools, or between schools and central offices, may be required for certain positions.

- Ability to carry out instructions furnished in written or oral form.
- Ability to add, subtract, multiply and divide, and perform arithmetic operations as needed.
- Ability to understand, apply and use personal computers and software applications (e.g., Word, Infinite Campus, Google Communication Suite; spreadsheet, etc).
- Ability to work with a diverse group of individuals.
- Ability to maintain confidentiality of information regarding students, employees and others.
- Ability to establish and maintain cooperative working relationships with students, staff and others contacted in the course of work.
- Ability to report work orally or in writing to supervisor as required.
- Effective writing and verbal communication skills.

Qualifications Profile
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
- High School diploma or equivalent.
- Prior successful clerical experience preferred.
