Description

Administrative Assistant to the Principal

Position Purpose
The position is responsible for working directly in an administrative support role to the Principal and provides support to the school's administrative team as needed.  This position also coordinates school activities and provides front office support, prepares and maintains a variety of records and reports related to assigned activities, while maintaining confidentiality of sensitive and personal information.

Essential Functions:
  • Routinely meets and interacts with the public, staff, and students in situations which require tact, discretion and courtesy
  • Performs a wide variety of clerical duties, including but not limited to typing and preparing letters, memoranda, reports, questionnaires, and other materials
  • Coordinates a variety of programs and/or activities (e.g. meetings, after school, site in-service day activities, workshops, observations, etc.) for the purpose of ensuring availability of facilities and/or equipment and delivering services in conformance to established guidelines  
  • Assists in completing reports  
  • Coordinates schedules for special projects including scheduling meetings, making room arrangements, etc.
  • Maintains clear and accurate student records (e.g. cumulative folders/cards and enrollment forms)
  • Appropriately maintains and secures confidential records and inquiries 
  • Maintains proficiency in using PowerSchool software and Instant Alert building call-out system
  • Oversees the Retention process, coordinate Power Hour, Saturday School program, picture days, Scholar of the Month celebration, Tiger Token store, and quarterly raffles  
  • Assists with student registration duties  
  • Answers phones for principal; takes messages and calendars appointments for principal 
  • Attends and participates in assigned meetings and trainings; prepares minutes from notes as required
  • Coordinates transportation for field trips, sporting events, etc.
  • Collects and accounts for funds from various activities (e.g. dances, games, dress down days, etc.) prior to submitting to the Business Office 
  • Monitors assigned activities and/or program components for the purpose of coordinating activities and ensuring compliance with established requirements  
  • Responds to inquiries from a variety of internal and external parties (e.g. staff, parents, students, public agencies, etc.) for the purpose of providing information, facilitating communication among parties and/or providing direction  
  • Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions  
  • Facilitates purchase orders/payment requests as needed
  • Completes any additional assignments requested by the Building Principal and/or Superintendent  
  • Assists other personnel as may be required for the purpose of ensuring an efficient and effective work environment in the building 
  • Serves as backup for substitute coordinator for the building contacting substitutes for all teachers and classified staff as required; serves as backup for receptionist
  • Performs all other duties as assigned by supervisor
Qualifications
  • High school diploma; two years of college preferred
  • A minimum of two years of relevant secretarial experience, preferably in a school setting; proficiency with PowerSchool preferred
  • Excellent organizational, interpersonal, and decision-making skills
  • Exhibits professionalism in dealing with various constituencies – employees, parents, students and others
  • Strong written and oral communication skills
  • Ability to work independently and efficiently with minimal oversight in a deadline-driven environment
  • Ability to maintain confidentiality 
  • Strong computer skills
  • Bilingual (English/Spanish) a plus
Terms of Employment
  • 260-day work year (full year)
  • Salary range $20-25/hour depending on experience

Performance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Non-Certified Personnel.
