Job Title: Maintenance Secretary

Location: Maintenance 

Payment Rate:  In accordance with the USD 443 Salary Schedule - Fulltime - Starting Salary Range - $21.31 hourly

Evaluation & Benefits: In accordance with the USD 443 Classified Handbook

FLSA Status:  Non-Exempt

Reports To: Maintenance Supervisor

 

PURPOSE: An employee in this class performs a variety of administrative duties in the maintenance department.  Work includes, but is not limited to:  providing a variety of clerical support functions for the maintenance department, handling all work order functions, maintaining inventory, preparing reports and other duties as needed or assigned by the Maintenance Supervisor.
 

EMPLOYMENT QUALIFICATIONS:

Education:
 

  • High school diploma or equivalent.

  • Associates degree preferred.
     

Experience:
 

  • Two years’ experience in the maintenance or related field preferred.
     

Certificates, Licenses, Registrations:
 

  • Valid Kansas driver’s license. 

KNOWLEDGE, SKILLS, & ABILITIES:

  • General knowledge of office practices and procedures; general knowledge of grammar, spelling, vocabulary, knowledge and ability to use personal computers and office related software.

  • ability to communicate effectively in person and by telephone.

  • Ability to be tactful and courteous. 

  • Ability to schedule appointments and meetings based on specific oral or written instructions.

  • Ability to follow oral and written instructions and procedures. 

  • Ability to type or input data with accuracy at the speed required by the particular program or position utilizing the services of this role. 

  • Ability to learn and apply filing and to arrange and place records, reports, and files into a proper sequence; ability to compile records and reports from program information. 

  • Ability to establish and maintain effective working relationships with staff, outside agencies, vendors and the public. 

DUTIES & RESPONSIBILITIES:

  • Management/Supervisory experience to assist with employees and to provide professional support, direction and staff development training. 

  • Monitor health, safety and security conditions in the building and adjoining grounds and provide for par, correction and/or resolution of any concerns or hazards.

  • Respond appropriately to emergency situations which may have an adverse effect on the health or safety of the students, staff and/or visitors to the buildings.

  • Attend training meetings and seminars, as approved, to upgrade as well as maintain job skills and knowledge of regulations and procedures related to transportation operations.

  • Receives service calls, uses judgment to accurately ascertain the nature of reported problems through techniques and directs callers on issues they can resolve themselves.

  • Generates work orders.  Prioritizes and assigns work orders in accordance with the instructions of the Maintenance Supervisor

  • Reviews work orders completed by maintenance staff. Returns incomplete or inaccurate work orders to the maintenance staff for further processing.  Ensuring all information is correct and changes are appropriate and closes work order

  • Monitors work orders for compliance to policy and procedure.

  • Oversees work order time tracking for maintenance staff, addresses deficiencies. 

  • Maintains maintenance files.

  • Assists Maintenance Supervisor in purchasing parts and supplies.

  • Assist Maintenance Supervisor with Time Management.

  • Prepares and submits reports.

  • Performs a variety of routine clerical functions.

  • Performs related job duties as needed or as requested by the Maintenance Supervisor.

  • Act as Notary as necessary.

  • Sets up all employees on Avigilon for keycard access.

  • Sets up employees to security for building security. 

  • Records and prepares all buildings for yearly online courses (district wide).

  • Assist in purchase requisitions, claim vouchers, ordering and bids.

  • Organize workers as well as work as needed during the Civic Center events (basketball games, concerts, shrine circus) etc.

  • Assist personnel when needed at request of the employee's assigned supervisor.

  • Scheduling substitute custodians when needed.

  • Ordering office supplies to ensure proper inventory.

  • Assist in ordering and distribution of custodial chemical orders.

  • Assist with Maintenance and Grounds safety program.

  • Clean work areas after completion of job.

  • Perform a predetermined schedule of preventive maintenance on all assigned equipment.

  • Pickup and deliver supplies and materials to various locations as required.

  • Complete and maintain all necessary documentation, computerized if necessary. Instruct grounds personnel in proper and safe operation of all equipment.

  • Follows all proper shop operational procedures and safety guidelines. Perform duties incidental to the work described herein.

  • Maintain high standards of safety and general housekeeping.

  • Be on call to assist schools with building emergencies as needed.

  • Assist Maintenance personnel in the team effort as needed on temporary job assignments which are difficult or require extra help to get the job done efficiently.

  • Other duties as assigned by the Maintenance supervisor.

PHYSICAL REQUIREMENTS & WORK ENVIRONMENT 

  • While performing the duties of this job, the employee is regularly required to sit; use hands.

  • The employee is occasionally required to stand; walk and reach with hands and arms. 

  • The employee must regularly lift and /or move up to 50 pounds.  

  • Specific vision abilities required by this job include close vision, color vision, peripheral vision, depth perception and ability to adjust focus.

  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. 

  • The employee is regularly exposed to moving mechanical parts. 

  • The employee is occasionally exposed to outside weather conditions; extreme cold and extreme heat. 

  • The noise level in the work environment is usually moderate, but could be loud.
