SUBSTITUTE OFFICE ASSISTANT
Location: Schools and/or School Board Office
Position Overview:
A substitute is responsible for providing administrative support in the absence of administrative support personnel.
Minimal Qualifications:
Hold a high school diploma or have passed a high school equivalency examination approved by the Board of Education. Ability to be self-directed in managing workload and developing solutions to problems is required
Duties and Responsibilities:
Exercise judgment and work effectively with all levels within the school system and the public.
Compose type and proofread correspondences, contracts, reports, purchase orders, requisitions and other materials.
Handles confidential mail and other sensitive information.
Handles office financial management that includes purchasing, bill submittal and processing invoices for payment.
Take notes, type letters and memos.
Direct inquiries to the proper source as necessary.
Prepares registration, make all travel arrangements and complete travel expense vouchers.
Answer telephone, screen calls receive request for information.
Receive, open and distribute mail.
Follow-up on requests made to and from Building Administrators.
Order and maintain supplies as needed.
Prepare payroll reports.
Maintain office files.
Maintain a schedule of appointments and assist in making arrangements for conferences and interviews.
Arrange maintenance and service calls for equipment.
Schedule and arrange staff meetings as required.
Provide other assistance as defined by the Supervisor.
