GENERAL FUNCTION
The Student Information System & Data Specialist will be responsible for maintaining student electronic records and files; facilitating the enrollment and registration of students into the District; state and federal reporting, and providing clerical support.
DUTIES AND RESPONSIBILITIES
A. Student Data and Set-up
- Manage the Student Information System including all necessary yearly updates
- Facilitate the Online Enrollment Process including but not limited to set-up, parent portal, pleats, assign fees
- Create new school years, terms, courses, grading windows and report cards for elementary and middle schools
- Collaborates with others on maintaining, updating, and communicating school enrollment figures (e.g. enrollment numbers, number of sections, counts of students), discipline, migrants, and homeless numbers, ELL status, and correcting Ed-Fi errors for the purpose of ensuring records are accurate and providing information to others.
B. Federal, State, and District Reporting
- Responsible in partnership with others for all DPI and federal reports by gathering information monthly and monitoring student software.
- Ability to use, troubleshoot and review student data including DPI Wise for accuracy.
C. General
- Researches, compiles, monitors, and trains others on data/information storage and use for the purpose of ensuring compliance with federal, state, and District reports.
- Maintain student record confidentiality to the extent possible.
- Maintain complete and accurate records as required by district policy and administrative regulation.
- Train staff and assist with generating reports for District usage.
- Under the direction of the Directors, assist with facilitating monthly meetings with building administrative assistants.
- When needed, provide clerical support, information and/or direction as may be assigned including answering phones and providing entry into the building.
- Stays abreast of district news through staff bulletins, email messages, etc.
- Follow district and school policies, guidelines, administrative regulations, and the employee handbook.
- Serve as a positive role model for staff and to help instill the belief in and practice of ethical principles and democratic values.
- Perform other duties within the scope of employment and certification as assigned.
KNOWLEDGE, SKILLS & ABILITIES
A. Qualifications
- Associates or Bachelors degree, (or appropriate years of experience)
- Proficient in higher level computer skill set
- Ability to read, comprehend, follow, and give oral and written instructions
- Ability to communicate well, both verbally and in writing, with both internal and external stakeholders
- Ability to work with limited supervision and make accurate, rapid, independent decisions regarding work duties
- Ability to assess a variety of concrete or abstract matters or situations and to make decisions based on that assessment
- Excellent organizational skills
- Strong degree of self-direction and motivation
- Ability to use tact and diplomacy in dealing with others and work effectively in a team environment
- Ability to maintain records and reports in an organized and orderly manner
- Ability to multitask and meet deadlines
- Ability to work with a high degree of accuracy
- Knowledge of attendance regulations and student accounting procedures
- Knowledge of District enrollment practices, and procedures
- Knowledge of data management, policies, and procedures
- Ability to manage and troubleshoot software
- Ability to apply independent judgment in correcting data errors or omissions
- Ability to exercise a high degree of confidentiality regarding student information in accordance with privacy laws and District policies
B. Preferred Qualifications
- Knowledge of Skyward system
- Extensive experience using Google Apps and Microsoft Office
- Above average ability to gather, interpret, organize and maintain accurate records
- Associates or Bachelors degree (or previous work experience)
- Ability to communicate in Spanish (preferred but not required)
This job is performed primarily inside with the occasional need to go to meetings outside the building and/or to District schools. The employee shall remain free of any alcohol or illegal substance in the workplace in compliance with Policy 3122.01 throughout his/her employment in the District.
