Job Title:  Admin Assistant for District Leadership 

Department/Group: Clerical/Secretary, 12 month position 

 

Position Summary/Purpose: We are seeking a highly organized and motivated individual to join our team as an Admin Assistant in the Administration Center. This critical role provides direct administrative support to the district administrators. This individual will play a key role in ensuring the smooth operation of the office, facilitating communication, and managing various administrative tasks with efficiency and accuracy.

 

Relationship to Student Achievements:

This position supports student achievement by contributing to an organized district office environment, maintaining positive public relations and improving the flow of communications and information for the Superintendent and District Cabinet.  

 

Position Type: Full-Time

 

Starting Annual Rate: $45,000+ based on qualifications and experience

Role and Responsibilities / Essential Job Functions:

  • Provide exceptional administrative support to the district leadership team, including scheduling appointments, managing calendar, and handling confidential information

  • Serve as the point of contact for the Administrative Center, answering phone calls, greeting visitors, and directing inquiries appropriately

  • Prepare correspondence, reports, and presentations with accuracy and attention to detail

  • Maintain organized and efficient filing systems for hard copy and electronic documents

  • Manage travel arrangements and expense reports for authorized personnel

  • Monitor and process incoming mail and ensure timely distribution

  • Assist with special projects and initiatives as assigned

  • Compare data with source documents, or re-enter data in verification format to detect errors

  • Operate telephone to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments

  • Operate office equipment, such as fax machines, copiers, or phone systems

  • Complete forms in accordance with district procedures

  • Create, arrange, and organize printed materials

  • Locate and attach appropriate files to incoming correspondence requiring replies

  • Compose, type, and distribute meeting notes, routine correspondence, or reports

  • Conduct searches to find needed information

  • Perform other duties as assigned and appropriate to the position

 

Qualifications and Education Requirements:

  • Minimum of 5 years of experience as a secretary or similar administrative role

  • Proven ability to prioritize, manage multiple deadlines, & thrive in a fast-paced environment

  • Excellent communication, interpersonal, and organizational skills

  • Strong proficiency in Google and office applications

  • Ability to maintain confidentiality and discretion

  • Positive and professional demeanor with a commitment to teamwork and collaboration

 

Preferred Skills:

  • Reconcile or balance financial records

  • Experience in the education sector

  • As a multi-language district, we always prefer staff who are bilingual but it is not required for this position

 

Working conditions / Environment: 

Physical Demands: mobility throughout the school facility, visual acuity close/distance/depth perception, hearing to receive information, verbal to exchange information, sitting for prolonged periods of time, manual dexterity for computer keyboard and telephone use.  Physical demands often include bending, twisting, stooping, reaching forward, reaching overhead, lifting up to 25 pounds from the floor, pushing and pulling

 

Environmental Conditions: indoor climate-controlled school environment, may include extended periods of times outdoors throughout the year

 

Examples of Equipment/Supplies Used to Perform Tasks: standard office equipment, such as computer, telephone, radio communication devices
