Qualifications: |
High school diploma plus a minimum of one year of business college or an associate’s degree preferred
A minimum of five years of successful secretarial experience; bookkeeping, school district, and/or human resources preferred.
Proficient skills in communication (oral and written), interpersonal relationships (with colleagues and the public), organizational, and problem solving (critical thinking and sound judgment)
Proficient to advanced skills with the use of personal computers, software, office equipment, including but not limited to Windows Office, Microsoft programs, internet browsing, with a command of Excel
General knowledge of labor laws
Performance Duties & Responsibilities:
Serve as a professional representative of the Human Resources department and school system, providing courteous and effective communication with staff, students, guests, and stakeholders
Coordinate and execute the Human Resources communication plan, including newsletters, website updates, and internal/external media
Support onboarding by preparing new hire materials, coordinating space reservations, and setting up orientation sessions to ensure a smooth and efficient experience
Maintain an accurate and functional scheduling system for Human Resources activities such as meetings, onboarding sessions, recruitment events, and trainings
Answer department phone calls professionally and provide accurate information or direct inquiries appropriately
Respond to Loan Forgiveness, Verifient, and board document requests promptly and with attention to detail
Develop expertise in the Munis financial and HR system; run reports, access records, and provide accurate data in response to requests and operational needs
Review, edit, and finalize HR documents with attention to grammar, formatting, clarity, and compliance with policies and standards
Maintain current job descriptions and evaluation tools; ensure timely updates and distribution to appropriate personnel
Coordinate travel arrangements for HR staff, including booking accommodations, registrations, and transportation
Enter and maintain personnel data in HR systems; generate reports related to hiring, contracts, MOUs, evaluations, transfers, retention, and board recommendations
Manage the Human Resources departmental budget, including ordering, bookkeeping, and performance-based financial planning
Post vacancies to external platforms; organize and coordinate logistics for administrative-level interviews
Maintain strict confidentiality related to employee data and internal department matters
Provide general support to the CHRO and HR staff for special projects, compliance efforts, and system-level HR operations
Demonstrate punctuality and dependable daily attendance to support the goals and integrity of the Human Resources team
Other Functions:
Daily attendance and punctuality are required to ensure the goals of the work unit are met.
Working Environment:
The usual and customary methods of performing the job's functions require the following physical demands:
Lifting, carrying, pushing, and/or pulling; frequent stooping, kneeling, crouching, and/or crawling. Generally, the job requires 35% walking/standing, 55% sitting and 10% lifting/carrying.
