Description

QUALIFICATIONS:         

  • High School diploma, post-secondary degree in business administration or related field preferred
  • Previous general office or related experience. School experience preferred
  • Advanced computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel) and the Google Suite of Products, additional proprietary software utilized by the CMAVTS; scheduling appointments/updating calendars a must.
  • Able to communicate in writing and verbally
  • Able to solve on multiple problems – work on several tasks at once
  • Time management and prioritization skills
  • Possess a high degree of integrity, responsibility, diplomacy, and reliability
  • Willingness to work overtime in order to meet deadlines imposed by the Commonwealth of Pennsylvania or the Federal Government

 REPORTS TO: Administrative Director and Building Principal
 
JOB GOAL: Perform and supervise student data for child accounting purposes in a professional manner to develop accurate state reports, which impacts state and federal funding. Perform all technological duties in a manner that supports the overall needs, goals, and mission of the school.  Coordinate transportation in a manner that supports the overall needs of students, faculty, staff, and administration.  Coordinate Act 48 in a manner that fulfills the faculty and administrative need for continued certification according to Pennsylvania State law.
 
PERFORMANCE DUTIES AND RESPONSIBILITIES: 
  1. Project a positive image of the school. 
  2. Maintain a high level of ethical behavior with work habits that meet or exceed common standards. 
  3. Serve as the student data system administrator. 

  • Analyze, solve, and correct problems related to the student database system.
  • System use approver 

  1. Administrator of the Columbia-Montour AVTS on-line electronic filing systems with the Pennsylvania Department of Education. 

  • Pennsylvania Department of Education (PDE) contact for vocational program changes and approvals. 
  • Gather and update data, create file, and submit on-line the required information for the Elementary/Secondary Professional Personnel report. 
  • State reporting including, but not limited to, the Pennsylvania Information Management System 
  • Complete PDE Data Quality Curriculum Certification 

  1. Serve as the Student Information System (SIS) Administrator,  duties to include but are not limited to: 

  • Attendance
  • Grades-Interim Reports/Report Cards/ Missing Grades/Transfer Grades/Grade changes
  • Scheduling Changes
  • Withdrawals
  • Student demographics/changes
  • Processing new students.
  • Prepare and audit student transcripts.
  • Train, coordinate, and supervise on-line attendance module.
  • Archival and Historical student data maintenance.
  • Responsible for yearly rollover and set-up of computer data system software for new school year.
  • Solve log-in issues for parents
  • Create extraction information text files for student operating information.
  • Analyze, solve, and correct problems related to the student database system.
  • Enter and maintain any and all data related to PIMS, including the HR database required for PIMS reporting
  • Create reports for PIMS and verification reporting  

  1. Serve as the Child Accounting Coordinator 

  • Track and maintain student records in the student database system for reporting purposes.
  • Prepare state reports that impact school funding and submit to home school districts and to PDE through the e-PDE web portal.
  • Prepare federal reports and submit on-line for the e-PDE web portal as required by the Federal Government.
  • Member of ACAP/A (Attendance, Child Accounting Professional Association) both on state and local levels.
  • Attend child accounting conferences and workshops for up-to-date information on laws and student reporting changes.
  • Attend DQN Meetings as schedule allows. 

  1. Serve as the Act 48 Coordinator according to the law set by the Commonwealth of Pennsylvania. 

  • Facilitator for professional development/Act 48 Continuing Education Plan.
  • Troubleshoot and solve arising recording problems for faculty
  • Report hours via Pennsylvania Department of Education on-line electronic reporting system.
  • Remain up-to-date on the Act 48 law and reporting changes.
  • Contact person for sending district staff responsible for submissions.
  • Communicate with faculty on Act 48 law and Columbia-Montour AVTS procedure for activity hours.
  • Report potential compliance issues to Administrative Director 

  1. Assist faculty and staff regarding the use of The Student Information Software Package. 

  • Troubleshoot application problems for faculty & staff. 

  1. Assist with CATS (Career and Technology Information System) reporting. Responsibilities include but are not limited to: 

  • Export/Import critical data information into CATS system.
  • Responsible for accurate data entry and submission of data using technology based software / on-line submission. 

  1. Create monthly enrollment reports for Joint Operating Committee meeting. 
  2.  Communicate with the sending districts’ child accounting staff regarding special education student tracking and child count. 
  3. Receive and assist students, faculty, and staff. 
  4. Administer/Enter/Submit CRDC Critical Data Fields 
  5. Coordinate Title IX Data Information 
  6. PVAAS Duties to include: 

  • Set-up extraction and verification of data
  • Verify instructional responsibility between teachers and students
  • Monitor and maintain effective dates of instruction
  • Schedule changes
  • Verify imperative operations for instructional responsibility 

  1. Transportation duties to include:  

  • Coordinate transportation, for all CMAVTS students, with contractors, sending districts, and Columbia-Montour AVTS. 
  • Coordinate and provide contracts with outside contractors. 
  • Contact person for transportation directors at sending districts. 
  • Provide transportation assistance to all Columbia-Montour AVTS students. 
  • Responsible for accurate monthly reports to Business Office for contractor payments. 
  • Solicit sports and transportation bids. 
  • Coordinate transportation for away sporting events, activities, and workshops by bus, vans, and/or school car. 
  • Transportation reporting to PDE. 
  • Maintain credentials and clearances for bus drivers
  • Solicit quotes for charter bus requests, contract charter routes
  • Remain on call to solve transportation issues 

  1. Utilize the Student Information System Software, Microsoft Office Suite and the Suite of Google products to carry out essential job functions. 
  2. Complete other duties assigned.  
TERMS OF EMPLOYMENT: Twelve (12) month year. Salary to be determined by the Operating Committee.                                           
 
SELECTION:    Appointment shall be by the Joint Operating Committee following the recommendation of the Administrative Director.
 
EVALUATION:  Annually by the Administrative Director
