POSITION: Student Information System (SIS) Coordinator

LOCATION:  Albany High Complex

JOB SUMMARY:

The Dougherty County School System is seeking a detail-oriented and experienced SIS Data Coordinator. This position is responsible for maintaining the accuracy, integrity, and security of student data in the district’s Student Information System (Infinite Campus). The coordinator ensures compliance with local, state, and federal reporting requirements, supports school and district staff in managing student data, and collaborates across departments to facilitate data-driven decisions.

MINIMUM QUALIFICATIONS:
  1. Bachelor’s degree in Computer Science, Information Systems, Business Administration, or a related field, or equivalent training and experience;
  2.  Minimum of five (5) years of successful experience with student information systems or educational databases;
  3.  In-depth knowledge of Infinite Campus;
  4.  Proficiency with Microsoft Excel and data management tools;
  5. Strong written and verbal communication skills;
  6. Ability to work independently and collaboratively;
  7.  Excellent organizational and troubleshooting skills;
  8.  Valid Georgia driver’s license and insurability under DCSS guidelines;
  9.  Proficient with word processing and current school division software;
  10. Such alternatives to the above qualifications as the Superintendent and the Board may find appropriate.

KNOWLEDGE, SKILLS AND ABILITIES:  

  1.  Extensive knowledge of Infinite Campus;
  2.  Familiarity with GaDOE reporting requirements (FTE, Student Record, Student Class);
  3.  Strong understanding of FERPA and data privacy in K–12 environments;
  4.  Ability to audit and verify student data for accuracy and compliance;
  5.  Expertise in resolving data discrepancies and SIS errors;
  6. Proficiency in Excel and data import/export processes;
  7.  Experience with scheduling, enrollment, attendance, and grade reporting;
  8.  Strong organizational and documentation skills;
  9. Ability to train and support school and district level staff;
  10. Ability to manage multiple projects and meet deadlines;
  11. Familiarity with data integration between SIS and third-party platforms (e.g., Assessment tools, Transportation, and School Nutrition software);
  12. Understanding of K–12 academic structures, calendars, and course codes;
  13. Commitment to ongoing learning and adapting to SIS updates.

PERFORMANCE RESPONSIBILITIES:

SIS Support & Technical Assistance:

  1. Define and assess SIS-related issues, collect data, and provide data-driven solutions;
  2. Provide technical support for SIS users via phone, email, and in-person;
  3. Assist users in navigating system updates and new features;
  4. Evaluate and manage technology requests related to Infinite Campus.
Training & Documentation:
  1. Conduct training sessions and develop user documentation as needed;
  2. Develop and deliver training sessions on SIS procedures and best practices;
  3. Create and maintain user guides, help documentation, and data entry protocols.
 

Data Management & Integrity:

  1. Ensure the accuracy, completeness, and integrity of student data within the SIS;
  2. Monitor and audit records for enrollment, scheduling, attendance, discipline, grades, and transcripts;
  3. Maintain proper documentation for data correction processes and audit trails;
  4. Support school-level tasks including scheduling, gradebooks, transcripts, reporting, and rollovers.

Reporting & Compliance:

  1. Compile and submit data extracts and reports to federal, state, and district agencies;
  2. Coordinate local, state, and federal reporting requirements to ensure compliance;
  3. Prepare, validate, and submit reports required by the Georgia Department of Education (e.g., FTE, Student Record, Student Class);
  4. Track reporting timelines and ensure deadlines are met;
  5. Troubleshoot reporting errors and ensure data alignment with GaDOE standards.

Security & Access Management:

  1. Create and manage SIS user accounts, roles, and permission;
  2. Implement and enforce data security standards and FERPA compliance;
  3. Monitor system access to ensure proper authorization and data confidentiality.

System Administration & Maintenance:

  1. Coordinate SIS configuration tasks including school calendars, grading periods, rollovers, and course catalog setup.
  2. Collaborate with vendors and IT staff to troubleshoot software issues and deploy updates.
  3. Oversee year-end rollover and beginning-of-year SIS setup activities.
  4. Maintain integration between SIS and third-party platforms (e.g., LMS, special education systems, cafeteria, transportation).
  5. Assist in enhancing SIS functionality to better meet user needs.

Collaboration & Communication:

  1. Serve as the SIS liaison between district departments, vendors, and school sites;
  2. Participate in stakeholder meetings to discuss SIS needs and improvements;
  3. Work with curriculum and instructional staff to align SIS functionality with academic goals;
  4. Communicate updates, issues, and changes to all relevant stakeholders in a timely manner.

Reporting & Data Analysis:

  1. Produce routine and ad hoc reports to support school operations, accountability measures, and data-driven decision-making;
  2. Generate routine and ad hoc data reports for district leadership and schools;
  3. Analyze data trends and provide insights to support school improvement and accountability;
  4. Assist in the development of dashboards or reporting tools using SIS data.

Professional Development & Continuous Improvement:

  1. Stay informed about changes in state reporting requirements and SIS functionality;
  2. Attend GaDOE trainings, vendor-led webinars, and SIS user group meetings;
  3. Recommend system enhancements and process improvements based on user feedback and evolving needs.

Other Duties:

  1. Perform other duties as assigned by the Supervisor.


WORK ENVIRONMENT/PHYSICAL REQUIREMENTS:

  1. Prolonged periods of sitting at a desk and working on a computer;
  2. Ability to occasionally move about the office or between school sites;
  3. Must be able to lift up to 25 pounds at times (e.g., equipment, printed reports);
  4. Manual dexterity to operate standard office equipment and computer hardware;
  5. Visual acuity to read and analyze data on a screen or in printed form;
  6. Ability to hear and speak clearly to communicate with staff, vendors, and stakeholders in-person and remotely;

SALARY RANGE:  Competitive salary and excellent benefits package, in accordance with the DCSS Compensation Guide
