Reports to: Chief Financial Officer
Primary Purpose:
Provide clerical services, organize, and manage the routine work activities of an administrative department office.
Qualifications:
Education/Certification:
High school diploma or GED
Special Knowledge/Skills:
Strong organizational communication and interpersonal skills
Ability to interpret and disseminate information to individuals
Proficient skills in keyboarding, word processing, and file maintenance
Ability to maintain accurate and auditable records
Ability to use personal computer and software to develop spreadsheets, databases, and do word
processing
Ability to work with numbers in an accurate and rapid manner
Ability to meet established deadlines
Experience:
Three years secretarial experience, preferably in a public education environment
Major Responsibilities and Duties:
Records, Reports, and Correspondence
Prepare correspondence, forms, reports, etc., for the staff members of the business office using personal computer.
Compile pertinent data as needed when preparing various local and state reports.
Maintain physical and computerized departmental files.
AccountingPerform routine bookkeeping tasks, including simple arithmetic operations.
Assist with the preparation of requisitions and purchase orders.
Other
Be professional and pleasant when greeting the public and staff.
Handle business needs of public and employees promptly.
Answer incoming calls, take reliable messages, and route to appropriate staff.
Maintain a schedule of appointments and make travel arrangements for business office.
Provide administrative support to CFO, managing their calendar, acting as the primary point of contact, coordinate and attend meetings
Coordinate District elections.
Receive, sort, and distribute mail and other documents to appropriate staff.
Service postage machine and update for proper postage rates.
Assist business office staff members with filing as needed.
Maintain confidentiality of information.
Manage District’s online payment system such as invoicing, fees, setting up field trips, summer camps, etc.
Perform other duties as assigned.
