SALARY and FTE: 

Full Time (210 days)

Monday-Friday, 7:00 a.m.-3:30 p.m.

$15.00/hr probationary; Non-probationary at $16.00-$21.99 increasing with experience per the collective bargaining agreement.

WHAT WE NEED: A professional, energetic, and friendly administrative assistant to welcome students, parents, and community members into Whitmore Lake High School. The ideal candidate will have a willingness to learn, a positive attitude, and the ability to support the administrative team and athletic department with duties as outlined.

 

IN THIS ROLE: 

You will be:

Collaborating with Administration to maintain building security, including but not limited to:

  • Monitoring students and guests signing in and out of the building

  • Performing specific duties for all drills (fire, tornado, etc.)

 

Coordinating with the Director of Finance and Operations by: 

  • Managing POs, purchase card transactions, deposits, and requests for checks

  • Maintaining student activity accounts (approximately 50) by recording expenditures and monies deposited, accounts, and completing check requests

  • Verifying budget/activity account reports

  • Assisting staff in policies and procedures relative to account management

Maintaining accurate and complete attendance records, including but not limited to:

  • Maintaining and monitoring the accuracy of daily attendance, including teacher attendance records and daily student and visitor sign-in/out

  • Maintaining the Daily Proof of 75% Required Attendance Record for the State

  • Preparing and distributing records, reports, and correspondence related to attendance

  • Preparing State Report bi-annually

 

Preparing for substitutes and guest teachers, including but not limited to:

  • Preparing sub folders, plans, copies, and keys

  • Securing subs for teachers and paraprofessionals if needed

 

Performing daily activities to keep the main office running smoothly, including but not limited to:

  • Making and receiving phone calls, taking messages, routing calls and messages to appropriate individuals or programs as needed

  • Troubleshooting copy machines

  • Entering events into the school calendar, district calendar, principal's calendar, and the district calendar system

  • Sorting and distributing all mail

  • Maintaining storage room, as well as an inventory of supplies for distribution

 

Assisting in the planning and preparation for special events such as Open House, Parent/Teacher Conferences, Picture Day, Mobile Dentist, etc., including any reports associated with the event 

 

Maintaining payroll records

 

Supporting the Athletic Department by:

  • Maintaining a list of teams, dates, and times of games

  • Monitoring academic eligibility of in-season athletes 

  • Complete other duties as assigned by the Athletic Director 

 

Maintaining required confidentiality and serve with loyalty and integrity to the building administration and Whitmore Lake Public Schools

 

Operating within the letter and intent of legal mandates, Board of Education policies, and the Superintendent's rules and regulations 

 

Performing other duties as assigned by the building administration 

 

WHAT YOU NEED: 

High school diploma or general education degree (GED); plus three to five years in general office work and/or training; or equivalent combination of education and experience. 

 

LANGUAGE SKILLS: Ability to read and interpret documents as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of students. parents or employees. 

 

MATHEMATICAL SKILLS: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs. 

 

REASONING ABILITY: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. 

 

OTHER SKILLS AND ABILITIES: Must type 55 wpm. Ability to operate office machines, personal computers, and related software, including but not limited to Microsoft Office (Word, Excel, PowerPoint, etc.) and Google (Drive, Sheets, Docs, Slides, etc.). Ability to develop effective working relationships with students, parents, staff, and the community. Communicate clearly and concisely, both verbally and in writing. Ability to perform duties with awareness of all district requirements and Board of Education policies.
