Description
Position Summary: Serves as the business office bookkeeper and as the assistant to the assistant superintendent. The Accounting Coordinator assists the assistant superintendent as needed in all areas under his/her direction to facilitate the efficient, effective operation of that office.

Supervisory Responsibilities: This job has no supervisory responsibilities. On occasion, this person will be required to train others in relation to the use of specific databases or development of data processing skills. - Makes decisions and demonstrates leadership that supports the mission, vision, goals and interests of the district and of students. Communicates, collaborates, and cooperates with colleagues, supervisors, staff and teacher applicants.
- Processes and verifies all forms, applications, and reports for the free/reduced price lunch program.
- Processes and verifies all applications for the fee waiver program
- Assists building administrators with residency investigations.
- Prepares all National School Lunch Program and the State Milk reporting and claims.
- Prepares other billings as needed for various programs, such as homeless student transportation, special education reimbursement, etc. Prepares tuition billings for out-of-district students attending District 89 programs.
- Distributes forms and coordinates financial reports to all building locations in the district.
- Assures the efficient operation of all school district contracted services, e.g. student transportation and food service programs.
- Manages the districts accounts receivable and invoicing through My School Bucks
- Processes incoming correspondence and prepares outgoing correspondence, reports, and notices as directed.
- Prepares bid notices for publication and bid documents as required.
- Assists with the management of all facility projects, including maintaining certificates of insurance and certified payrolls.
- Assists with all local, state, and federal reporting as required (budgets, AFRs, Statement of Affairs, MCAT claims, grants, etc.) and assures that all required financial reports to external agencies are property submitted in a timely manner.
- Completes all quarterly grant expenditure reporting.
- Completes all bank and investment account reconciliations. Prepares and processes all journal entries and account transfers.
- Prepares monthly financial reports for the Board of Education as directed.
- Assists with district budget development.
- Assists with school district investment and cash flow planning
- Responsible for fixed asset records for the District’s inventory system for accounting and insurance purposes.
- Responsible for records disposals and unclaimed property reporting with State of Illinois.
- Facilitates annual financial audit conducted by independent auditors.
- Secures insurance coverage for all student trips
- Evaluates student accident insurance program and assists with reports and claims as needed.
- Maintains effective communication with various district-wide, city, county, and state offices to facilitate cooperation regarding mutual concerns. Maintains records of building fire drills and bus evacuation drills.
- Maintains all district financial records and files in an efficient, accurate manner while maintaining proper security and confidentiality.
- Serves as back-up administrative assistant to the assistant superintendent
- Advises the assistant superintendent immediately of the existence of any problems deemed to warrant prompt attention, advice or intervention.
- Performs special assignments and other duties as determined by the assistant superintendent.

Qualification Requirements:
- Bachelor’s degree from a four-year college or university and one or more years of related experience and/or training. CPA is preferred, but not required.
- College coursework in English, communications, and accounting
- Experience in organizational accounting in a business or school environment.
- Experience with electronic office software, e.g., MS Word, MS Excel and FileMaker Pro.
- Ability to read, interpret and write written and verbal information. Ability to write professional correspondence, routine reports. Ability to speak effectively with the public and staff.
- Ability to read and interpret documents such as accounting statements, business correspondence, government regulations and procedures manuals. Ability to write reports and correspondence.
- Ability to calculate figures and amounts using basic mathematics concepts of algebra and statistics related to school district information.
- Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to deal with problems involving several concrete variables.
- Ability to complete assigned tasks in a timely manner and communicate clearly and concisely, both orally and in writing with time constraints.
- Keyboarding or word processing speed test must be passed at 55 words per minute without error.
- Ability to establish and maintain effective working relationships with students, staff and the school community.
- Ability to perform duties with awareness of all district requirements and Board of Education policies.
Physical Demands:
- While performing the duties of this job, the employee is regularly required to talk or hear.
- The employee frequently is required to stand, walk, operate a computer, sit, and occasionally to reach with hands and arms.
- The employee must occasionally lift and/or move up to 20 pounds.
- Specific vision abilities required by this job include close vision. Long term use of computer monitors is required.
- The position frequently requires non-stop typing on the computer.
- The position requires the individual to meet deadlines with severe time constraints and to interact with the public and other workers.
Work Environment:
- Work Environment: The noise level in the work environment is usually quiet.
- Work is usually conducted indoors. This work could be conducted at any school district location.
Evaluation: Job performance is evaluated in accordance to district guidelines by the assistant superintendent.
