Purpose
The Grant coordinator is a key position within the West Ada Education Foundation (Foundation), acting as the Foundation’s primary contact for the grant application process. The Grant Coordinator will also oversee ensuring compliance with grant requirements, researching and identifying available funding opportunities, developing grant proposals, and supporting the organization’s funding strategies. The ideal candidate will possess excellent communication skills, a strong understanding of grant processes, and the ability to work effectively both independently and as part of a team. The coordinator will collaborate with different departments within the organization to ensure proposals align with the organization’s goals and objectives.

Key Responsibilities

  • Grant Management: Oversee and execute all elements of grants from application through reporting, including preparation, submission, and post-award compliance. Coordinate with grant committees to ensure visibility and awareness.
  • Proposal Development: Assist in drafting, editing, and assembling grant proposals and supporting documents. Ensure proposals meet guidelines and align with the organization’s goals.
  • Research and Identification: Identify potential funding opportunities by researching grant-making organizations, government funding sources, and other potential donors.
  • Compliance and Reporting: Monitor and ensure compliance with grant requirements, including tracking deadlines, deliverables, and financial reports. Prepare and submit timely reports. Maintain accurate grant records.
  • Budget Management: Collaborate with the finance team to develop and manage grant budgets. Ensure proper allocation of funds by tracking grant expenditures. Ensuring adherence to financial guidelines.
  • Documentation and Record-Keeping: Maintain accurate and up-to-date records of grant-related documents, correspondence, and reports. Ensure all documentation is organized and accessible. Maintain Grant updates on website.
  • Communication and Liaison: Serve as the primary point of contact between the organization and grant-making entities. Address inquiries and provide updates as necessary. Work collaboratively with Foundation team.
  • Training and Support: Provide guidance and support to staff on grant-related processes and requirements. Conduct training sessions as needed.
  • Evaluation and Improvement: Assess the effectiveness of grant management processes and recommend improvements. Stay current with best practices and changes in the grant landscape.
  • Other Duties: Provide back up support to other team members as required, including but not limited to, processing incoming donations when Administrative Coordinator is out of the office, preparing summaries and briefing materials on granting activities at the request of the Executive Director, as well as other duties assigned.

Qualifications

  • Bachelor’s degree in Nonprofit Management, Business Administration, Public Administration, or a related field. Master’s degree preferred
  • Proven experience in grant writing, grant administration, or a related role.
  • Familiarity with grant management systems, funding guidelines, and compliance requirements.

Skills

  • Exceptional written and verbal communication skills, with the ability to craft compelling proposals and reports.
  • Excellent organizational skills with attention to detail and the ability to manage multiple projects and deadlines.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with grant management software.
  • Ability to work collaboratively and effectiely with diverse teams and stakeholders.
  • Ability to quickly learn new systems and software.
  • Strong problem-solving skills and the ability to handle sensitive and confidential information.
  • Effective time management: able to prioritize work and meet deadlines.
  • Excellent problem-solving skills: able to solve problems and/or identify when an issue should be elevated.
  • Able to work effectively in a dynamic team environment (working both independently and as part of a small team).
  • Analytical: interested and able to seek out data to identify issues and trends, assess project viability and financial performance.

Essential Physical Abilities

  • Must have a valid Idaho Driver's license and a vehicle to drive and/or must provide own transportation for job related activities.
