Elementary Office Administrative Assistant (Office Secretary)
Date: July 8th, 2024
Time: 7:30 to 3:30 M-F (200 days per year)
Salary & Benefits: Per Pickford Educational Support Personnel Contract
Position Begins: August 12, 2024

MINIMUM JOB QUALIFICATIONS
Graduation from an accredited high school (Associates Degree or post secondary training in business, office administration, or information systems preferred).
Ability to maintain self-control, demonstrate outstanding organizational skills, and complete tasks with frequent interruptions.
Ability to maintain student confidentiality per district policy and state and federal law .
Ability to prioritize, manage tasks efficiently, and make decisions with minimal to no supervision.
Excellent written and verbal communications required. Ability to communicate and work effectively and courteously with staff, students, parents, vendors and the general public is essential.
Proven ability and/or aptitude to diffuse difficult situations, monitor/supervise students, and ensure that established routines and processes of the district are followed.
Proficient in the use of technology, including Internet, Microsoft Word, Excel, PowerPoint, Publisher, Windows, and other software applications.
Familiar with social media platforms and able to use Facebook proficiently compliment the district public relations platform.
Additional experience in software applications, web based programs, and online reporting is preferred.
Basic knowledge of accounting procedures.
DUTIES AND RESPONSIBILITIES:
Greet public, place and receive telephone calls, and distribute messages
Receive, sort, and distribute incoming mail & prepare outgoing mail for distribution
Monitor incoming emails and answer or forward as required
Photocopy, fax, and scan documents
Maintain the student records and office filing systems, both paper and electronic
Create documents, reports, and correspondence
Assist with planning, organizing, and advertising building events; coordinate and organize appointments and meetings for administrative staff
Inventory office supplies and place orders to make sure that an adequate level of supplies are maintained at all times
Update and maintain office equipment and copiers
Keep office reception area neat and clean
Update display cases and bulletin boards on a monthly basis
Maintain school calendars
Compile, monitor, and report student attendance
Maintain student health records; store, dispense, and record student medications that are properly approved per Board Policy
Process student schedules and report cards
Prepare and process bank deposits
Maintain petty cash
Process accounts payable and receivables
Prepare and process purchase orders, distribute orders, and maintain the purchase order log
Assign tasks to and monitor any student office assistants or volunteers
Maintain and update Paraprofessional schedules
Perform any and all other duties as may be assigned by the Building Principal, Superintendent, or Business Office Manager.
All support staff employees must possess:
1. At least a high school diploma or a GED equivalent.
2. A conviction record clear of any felony or misdemeanor conviction of any sex-related crime,
crimes against children, or crimes involving drugs, alcohol, firearms, weapons, or larceny.
3. American citizenship or legal alien status.
4. Valid information documenting their true identity and the use of any aliases.
All employees must be able to:

4. Observe all board policies.
5. Present themselves in a clean and neat manner.
6. Exercise good judgment and behavior while at the school and/or representing the school district.
OTHER SKILLS AND ABILITIES:
Physical demands: While performing the duties of this job, the employee is regularly required to stand, walk, and sit. The employee is occasionally required to stoop, kneel, or crouch. The employee may occasionally lift and/or push up to 50 lbs. Specific vision abilities required by this job include close vision, distance vision, and depth perception.
Work Environment: The noise level in the work environment is usually moderate to loud.
