Job Title: Secretary – Registrar (Middle School)
Reports To: Building Principal
FLSA Status: Non-Exempt
Job Status: Full-time, Classified

ESSENTIAL FUNCTIONS
The list of duties and responsibilities is illustrative only, and is not a comprehensive listing of all the duties and responsibilities performed by this position.
- Performs various routine clerical duties (e.g. screening calls; taking and transmitting messages; maintaining calendars; performing data entry; faxing documents; word processing; etc.)
- Serves as secretary to designated assistant principal and performs receptionist duties.
- Compiles school class list and maintain during school year.
- Registers all new students, prepares enrollment card for all entering students and enters data in computer.
- Receives and files all cumulative folders, update grades 6-8 folders as necessary and forwards all 8th grade folders to feeder high schools.
- Maintains cumulative folder file for all students and computerizes records, as required.
- Prepares monthly enrollment report of all transfer in/out students.
- Maintains confidential cumulative folder files for all special education students.
- Secures file for psychological and other sensitive data as prescribed by State and Federal laws.
- Receives and distributes copies as necessary for all annual case reviews, case conferences, transitional plans and other special education documents on a need basis.
- Prepares monthly report indicating any change in status of special education students.
- Processes transfers in and out.
- Forwards student records for all students who have transferred to receiving school.
- Maintains daily files of student absences and homes called by automatic calling system, updates phone numbers daily by contacting students whose phones have been listed as disconnected by the calling system.
- Enters all necessary data into the computer to establish a data bank for the attendance program and automatic calling system.
- Distributes all materials to faculty and staff for student accounting.
- Prepares daily absence lists by grade level for administrators.
- Prepares letters to parents notifying them of their child’s absence and/or tardiness as per administrative directions.
- Prepares suspension notices as per administrative directions.
- Manages the collection of all daily student computerized attendance sheets for all periods and enters the collected data into the student accounting system.
- Activates auto-caller to call the homes of those students who are reported absent.
- Provides attendance information and help interpret the information as necessary.
- Maintains regular attendance and punctuality.
- Assists other personnel as may be required for the purpose of ensuring an efficient and effective working environment.

Knowledge of:
- General office and clerical practices.
- Basic filing and recordkeeping principles.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook)
Ability to:
- Establish and maintain effective working relationships with employees, students, parents, and the public.
- Work without close supervision; perform satisfactorily under pressure and with frequent interruptions.
- Communicate effectively in writing and orally to sufficiently exchange or convey information and to receive work direction.
- Use interpersonal skills to interact with coworkers, supervisor, the general public, etc.
EDUCATION AND EXPERIENCE
High School Diploma, or G.E.D., and a minimum of two (2) years in general office or basic customer service experience; and/or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
