POSITION SUMMARY
Under the direction of the Director of Human Resources, the Human Resources Clerk II performs a variety of human resource activities in support of the district’s recruitment, employment, and retention goals.  Under general supervision provides administrative support to administrators, employees and applicants.  The incumbent works as a team member within the Human Resources department to foster positive working relationships.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Greets visitors, receives phone calls, distributes mail and messages to appropriate department personnel.
  • Assists with district recruitment efforts and activities, ensuring proper processes are followed.
  • Complies with all federal and state laws and regulations, and district policies and procedures pertaining to all human resource activities.
  • Fosters positive employee relations.
  • Conducts new hire/substitute orientations per established program.
  • Records and tracks bereavement leave.
  • Fingerprints new hires as required by their position.
  • Responds to inquiries regarding human resource related policies, procedures and programs.
  • Posts open positions upon official request.
  • Performs data entry to maintain the HRIS of all employee information.
  • Processes all approved employee Personnel Action Requests (ePARs) and makes approved changes in the HRIS.
  • Coordinates the epar and position control staffing processes using the HRIS.
  • Compiles, prepares and processes administrative reports (including Board agenda items) regarding employment actions.
  • Maintains and files all personnel records such as applications, new hire information, transfers, promotions, employee statistics, performance reviews and termination records.

  • Develops and maintains practices and procedures related to personnel file storage and retention.

  • Organizes pickup and delivery of personnel files from the department to central storage.
  • May prepare district, federal and state reports, or other requested reports.
  • Creates District badges as necessary.
  • May maintain department website.
  • Serves as a backup for other department positions when needed.

  • Performs related duties as assigned.
  
KNOWLEDGE SKILLS AND ABILITIES
  • Demonstrate general proficiency in computer programs such as Microsoft Excel, Word and Outlook.
  • Ability to learn required technology systems (payroll, HRIS, time keeping, application, substitute and training systems)
  • Ability to operate standard office and computer equipment and database software programs.
  • Ability to communicate effectively verbally and in writing.
  • Strong organizational and record keeping skills
  • Ability to do mathematical and statistical computations.
  • Ability to apply common sense understanding to solve practical problems and deal with a variety of situations.
  • Ability to maintain confidentiality and use of discretion.
  • Ability to work cooperatively and courteously with staff, students, parents and community members.
  • Perform all duties in accordance with Federal and State laws, district procedures and Board policies.
  • Ability to handle confrontation and conflict without an emotional response.
  • Produce accurate work and complete assignments with minimal supervision.
  
QUALIFICATIONS
  • High School Diploma or equivalent
  • 3-6 months related clerical experience
  • Any equivalent combination of training, education and experience that meets minimum requirements

While performing the duties of this job, the employee is required to reach with hands and arms.  The employee is frequently required to sit and occasionally stand and walk.  The employee may be required to move ten pounds and could occasionally lift or move up to twenty-five pounds.  
  
WORK ENVIRONMENT
Indoor office environment.  This position regularly works indoors.  The noise level in the work environment is generally quiet to moderate and may become excessively noisy at times.   Will have contact with administrative staff and the public.

$18.07/hour - 12 Month position - 8 hours/day
