Position Title: Center for Arts and Learning (CAL) Administrative/Tech Assistant for Center for Arts

Hours: 7:30 AM – 4:00 PM (Varies on event dates)

Education:  High School diploma or GED

Salary Schedule: Secretary 1

Reports to:  Fine Arts Coordinator

Contract:  260 days

FLSA Classification: Non-exempt

Position Overview:
The CAL Administrative Assistant plays a vital role in supporting the daily operations of the Center for Arts and Learning. Reporting directly to the Fine Arts Coordinator, the Fine Arts Administrative Assistant ensures that the CAL functions efficiently, serves as the central point of contact for internal and external stakeholders, and facilitates a wide range of administrative, operational, and event-related responsibilities.

Primary Responsibilities:

  • Building Operations
  • Open and secure the CAL building daily.
  • Maintain a calendar for deliveries, construction, and other scheduled building activities.
  • Coordinate facility maintenance and repairs with Sodexo.
  • Facility Rentals and Management
  • Manage scheduling through Facilitron and ensure effective communication with outside renters.
  • Provide facility tours and coordinate renter needs, working closely with technical staff.
  • Assist with the setup and teardown of stages, the auditorium, and the studio theater.
  • Concessions and Inventory
  • Manage inventory and supplies for concessions.
  • Collaborate with the Technical Director to oversee equipment inventory at CAL.
  • Event and Gallery Coordination
  • Coordinate and assist with the planning and execution of special Fine Arts events.
  • Work with teachers, internal renters, and external stakeholders to ensure smooth event operations.
  • Coordinate the display and rotation of artwork in the CAL gallery.
  • Collaborate with Professional Development Center (PDC) staff and daycare staff for joint events at CAL.
  • Administrative Support
  • Serve as the administrative assistant for Fine Arts and receptionist for CAL.
  • Support special projects and event-specific logistics for CAL events.
  • Provide administrative support to Fine Arts staff and Dr. Bradshaw.
  • Technology and Graphics
  • Demonstrate basic understanding of sound and lighting technology and/or have a growth mindset to be proficient in running those systems at events.
  • Assist with graphic design projects for CAL.

Qualifications and Skills:
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in graphic design software (e.g., Canva, Adobe Suite) is preferred.
  • Basic understanding of facility technology and equipment.
  • Ability to coordinate and work effectively with diverse teams, including technical staff, educators, and external renters.
  • Strong attention to detail and ability to manage inventory and schedules.
  • Ability to lift and move items as needed for event setups and teardowns.

Working Relationships:
Collaborates with technical staff, educators, Sodexo maintenance, CSC onsite staff, PDC staff, daycare staff, and external renters.
