Description

Job Title:                  Accounts Payable Analyst

Credentials:             None required for this position.

Education:               High school diploma or GED

Training or experience required: 1-2 years of successful secretarial experience. A minimum of 1 year with computerized accounting experience. Minimum of 1 year in a school system is preferred.

Site:                Administrative Services Center – Business Department

Reports to:   Accounting Coordinator

Contract:      260 days

Salary Schedule:    Business & Personnel

FLSA Classification: Non-exempt

Essential Job Functions:

  • Open mail and organize invoices with appropriate purchase orders and district blanket orders.
  • Establish accounts with appropriate documentation and signatures.
  • Prepare claim forms. Prepare checks for distribution.
  • Work with vendors and district staff when problems/concerns arise. Correct problems pursuant to operating procedures. Handle such communication on the phone and via email or written correspondence.
  • Enter data into Financial Software system. Scan backup documentation into system.
  • Check status of purchase orders periodically and at the end of the fiscal year.
  • Perform other accounting functions, reconciliation for various accounts and assist with deposits or district funds.
  • Input data for budget and expense transfers, post credits and debits for various accounts, claims, or payments that are voided.
  • Analyze, approve, and convert monthly Purchasing card statements according to the time schedule set by the Accounting Coordinator.
  • Maintain accounts payable system on specific vendor accounts, as assigned.
  • Prepare reports as necessary.
  • Perform other duties as assigned.

Successful performance of the job requires good customer service/people skills and ability to handle problems and provide information and technical assistance as requested. It requires complying with safety guidelines and policies to reduce accident or injury to staff or to students. It requires following school dress standards, proper attendance or leave policies, and other work-habit concerns for staff. Creativity, initiative and effective problem solving are critical to the success of the position. Help manage the computerization of school district operations. Provide training and support to district staff in the use of administrative computer systems. Perform such tasks to the ultimate benefit of the educational program. An incumbent in this position will utilize discretion, ingenuity and independent judgment due to the complexity of the job. Since there may be several ways to solve a problem, an incumbent is free to choose the solution. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is regularly to sit/stand; frequently required to reach with hands and arms; occasionally lift and/or move up to 25 pounds.
