We are looking for a highly organized and detail-oriented Executive Assistant to support our Executive Director and contribute to the overall operation of Summit Academy Schools. This role involves managing complex and confidential processes, ensuring effective communication, and coordinating various tasks to support our leadership team.
JOB DESCRIPTION Summit Academy Schools, Inc Executive Assistant
Purpose Statement The executive assistant is a highly organized professional who is responsible for various complex and confidential processes that support the smooth operation of Summit Academy Schools while upholding the Summit Academy mission.
The primary responsibilities include supporting the Executive Director with communication management and scheduling, overseeing grants and compiling reports, coordinating program logistics, conducting policy research, preparing meeting agendas and minutes, implementing marketing strategies, and serving as the liaison for both internal and external stakeholders, including the Board of Trustees. This position also provides administrative support to other leadership team members as directed.
This job reports to the Executive Director.
Essential Functions Prepares written materials (e.g., memos, emails, reports, board packets, forms, tables and charts, graphics, budgets, calendars) for documentation, written reference, and conveying information. Processes various documents and materials (e.g., mail, supplies, travel requests, credit card management, contracts, state and federal requests, evaluations, requisitions) to disseminate information to appropriate parties. Researches various topics (e.g., charter school state codes, regulations) to provide information and address administrative requirements. Reviews reports, files, and other documentation to ensure accuracy, completeness, and conformance to standard procedures. Provides administrative support for the Board of Trustees, including organizing and attending after-hours board meetings. Plans annual events for parents, the Board of Trustees, and staff. Coordinates marketing strategies, utilizes and monitors social media, and responds to inquiries with information or referrals to appropriate personnel. Monitors assigned activities and or/program components (e.g., grants, contracts) for compliance and risk management. Supports the Executive Director and other leadership team members as directed to ensure the efficient and effective functioning of Summit Academy Schools.
Other Functions Carries out additional related duties to ensure the efficient and effective operation of Summit Academy Schools as directed by the Executive Director.
Working Environment and Conditions Duties are generally performed in an office environment. Some work occurs outside of normal office hours and requires attendance at regular and unscheduled meetings and events. It requires some lifting, carrying, pushing, and/or pulling, as well as stooping, kneeling, crouching, and significant fine finger dexterity. Generally, the job requires 70% sitting, 20% walking, and 10% standing.
