POSITION OVERVIEW
The Human Resources Information System (HRIS) Administrator will be responsible for managing, maintaining, and optimizing the HR technology infrastructure to support the organization's HR operations and strategic initiatives, with a particular focus on collaborating with the payroll department to ensure seamless integration of HR and payroll systems.
DUTIES AND RESPONSIBILITIES:
- Administer and maintain the HRIS, ensuring data accuracy, system integrity, and efficient functionality
- Configure and customize the HRIS to meet organizational needs and support HR processes
- Analyze vendor interface requirements and maintain queries to support outputs
- Collaborate closely with the payroll department to:
- Ensure accurate and timely transfer of data between HR and payroll systems
- Implement and maintain integrations between HRIS and payroll software
- Troubleshoot any discrepancies or issues related to HR data affecting payroll processing
- Provide technical support for employment documents, including:
- Managing electronic document storage and retrieval systems within the HRIS
- Ensuring proper integration of document management features with other HRIS modules
- Troubleshooting issues related to document generation, storage, and access
- Implementing and maintaining electronic signature capabilities for employment documents
- Assisting in the creation and modification of document templates within the HRIS and Filemaker
- Assist with state reporting requirements:
- Compile and prepare HR data for various state reports
- Ensure data accuracy and completeness for reporting purposes
- Collaborate with relevant departments to gather necessary information
- Provide technical assistance in generating and formatting reports as needed
- Support FOIA request responses:
- Extract and compile relevant HR data in response to FOIA requests
- Ensure data privacy and confidentiality in accordance with legal requirements
- Provide technical assistance in preparing data for FOIA responses
- Collaborate with public relations and legal departments on FOIA-related matters
- Develop and maintain system documentation, including user guides and standard operating procedures for document management processes
- Provide technical support and troubleshooting for HRIS users, resolving issues in a timely manner
- Conduct system testing and quality assurance checks to ensure proper functionality
- Manage user access and security for local database systems and coordinate with system DBA for the main HR/Payroll system
- Generate and analyze HR reports and metrics to support decision-making, including payroll-related reports
- Collaborate with IT, payroll, and other departments to integrate HRIS with other systems and applications
- Train employees on HRIS functionality and best practices
- Stay current with HRIS updates and new features, implementing improvements as needed, especially those affecting payroll processes
- Assist in the evaluation and implementation of new HR technologies and system enhancements, considering payroll requirements
- Ensure compliance with data privacy regulations and company policies, particularly regarding sensitive payroll data
JOB REQUIREMENTS:
Required
- Bachelor's degree in Human Resources, Information Technology, or a related field
- 3+ years of experience administering HRIS or similar HR technologies
- Proficiency with Munis and Filemaker and an understanding of relational database design
- Strong understanding of HR data management and reporting processes
- Experience with data extraction, analysis, and report generation
- Strong analytical and problem-solving skills
- Strong understanding of payroll processes and how they integrate with HRIS
- Experience with payroll systems and software
- Strong analytical and problem-solving skills
- Excellent attention to detail and data accuracy
- Proficient in select SQL queries and data manipulation in Excel
- Knowledge of HR processes and best practices
- Ability to manage multiple projects and priorities effectively
Preferred
- Experience in a public K-12 school division
- Strong understanding of payroll processes and how they integrate with HRIS
- Experience with data migration and system integration projects, particularly between HR and payroll systems
- Understanding of relevant labor laws and regulations affecting human resources and payroll
- Knowledge of state reporting requirements and FOIA processes
