POSITION:     Human Resources Generalist - Substitutes and Compliance
 
Salary/Hours:                                     
  • Pay scale: Grade 12
  • Position Length: 12 months
  • Hours: Full time unless otherwise specified
 
JOB SUMMARY: Serve as a member of the Human Resources team in coordinating substitute hiring processes and other employee compliance programs.
 
KNOWLEDGE, SKILLS AND ABILITIES:
  • Must have minimum of three years of progressively responsible human resources administration experience; Bachelor’s degree preferred,
  • Knowledge of personnel practices, policies, regulations, and laws related to human resources,
  • Ability to prepare and maintain accurate records, operate standard office equipment, and utilize software applications (including HRIS database),
  • Ability to problem solve to analyze issues and create action plans,
  • Ability to interpret guidelines and utilize judgment for decision making,
  • Possession of exceptional interpersonal skills to establish and maintain effective working relationships,
  • Skill in working with detailed information and adapting to changing priorities,
  • Excellent verbal, written, and interpersonal communication skills.
  • Ability to maintain confidentiality.
 
PRINCIPAL RESPONSIBILITIES AND DUTIES: (including but not limited to the following)
 
  • Performs all tasks in the hiring process and management of substitutes in the division.
  • Evaluates applications and resumes for substitute applicants seeking employment.
  • Initiates and returns calls to potential applicants screening all requests for appointments.
  • Schedules interviews, makes determination for hiring and process new hire paperwork.
  • Submits paperwork for all background investigations and perform reference checks.
  • Establishes and maintains confidential substitute employee files and database.
  • Prepares and distribute monthly lists of substitute employees.

  • Will oversee and schedule on-boarding appointments for all new hires and receive and track resignations within the division for substitutes and other employees as needed,
  • Maintains a wide variety of manual and electronic documents, files, and records (e.g. Keystone data entry, certificates and/or license tracking/expirations, etc.) for the purpose of providing up-to-date information and/or  historical reference in accordance with established administrative guidelines and legal requirements,
  • Processes documents and materials (including annual employment contracts for certified and support staff, changes in employee status, etc.) for the purpose of disseminating information in compliance with administrative guidelines and/or state requirements,

  • Performs a wide variety of administrative duties to support the human resource operations, including word processing/document preparation, filing, recording information, and processing and distribution of correspondence,
  • Collaborates with the other Human Resources Generalists on planning, scheduling, organizing, or attending recruitment events,
  • Attends meetings, serves on committees, and supports division-wide events (e.g., Convocation, New Teacher Orientation, etc.) as assigned,

  • Assists with placement of student teachers, interns, volunteers, etc.
  • Completes and certifies student loan forgiveness and tuition reimbursement forms.
  • Oversees annual required compliance trainings for all staff including OSHA requirements and state reporting.
  • Complies with all school laws, State Board of Education regulations, and all policies and regulations made by the School Board and Superintendent.
  • Performs all duties deemed necessary by the School Board and Superintendent for the efficient and successful operation of the school system.
PHYSICAL REQUIREMENTS
 
Must have the ability to effectively communicate and interact with other staff and the public through the
use of the telephone and personal contact as normally defined by the ability to see, read, talk, hear, handle, or feel objects and controls. Physical capability to effectively use and operate various items of office related equipment such as, but not limited to, a personal computer, calculator, copier, and fax machine. Some climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, grasping, and repetitive motions will be required.
