TITLE: SECRETARY / BOOKKEEPER (School)

QUALIFICATIONS:
1. High school diploma or GED.
2. Demonstrates competence in use of business machines and computers.
3. Demonstrates competence in record-keeping, filing, and clerical work.
4. Two (2) years bookkeeping experience.
5. Three (3) years experience in a clerical position.
6. Satisfactory criminal background screening.
7. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

REPORTS TO: School Principal

JOB GOAL: To coordinate the collection, maintenance, and filing of school internal accounts and payroll information in addition to performing clerical work to promote good morale and efficient operation of the overall school site.

PERFORMANCE RESPONSIBILITIES:

  1. General responsibilities will be derived primarily from the following list of duties:
  2. Prepare, record, and maintain in a timely fashion all records for the internal accounts of the school.  This includes receipt and expenditure records, bank deposits and reconciliations, and keeping petty cash funds.
  3. Prepare and maintain files on all employee payroll records and submit payrolls to the county finance office when directed.
  4. Prepare and code all accounts payable invoices, summarize and balance entries recorded in individual accounts.
  5. Prepare work orders for county maintenance jobs done at the school site.
  6. Prepare bids for internal accounts.
  7. Prepare State Tax Reports and cost reports.  Prepare monthly reports and travel vouchers.
  8. Maintain such student records as shall be required.
  9. Receive and route incoming mail.  Draft letters and memorandums.
  10. Maintain a log of visitors to the school site.
  11. Secure substitutes for absent employees and insure earning records are turned into the county finance office.
  12. Maintain property records ledger and inventory of the school site.
  13. Maintain attendance reports and write corridor passes, excuses, etc.
  14. Supervise office aides as needed.
  15. Assist in school store operations.
  16. Type purchase orders and assist the administrator in budget preparations.
  17. Follow federal and state laws as well as School Board policies, rules and regulations.
  18. Assumes the responsibility to report for evacuation shelter support in the event of an emergency and any other duties assigned during an emergency evacuation.
  19. Performs other related duties as required (NOTE: the omission of specific statements of duties does not exclude them from the position if the work is similar, related, or a logical assignment to the position.)

PHYSICAL REQUIREMENTS: Light Work:  Exerting up to 20 pounds of force frequently and/or up to 10 pounds of force as needed to move objects.  

TERMS OF EMPLOYMENT: Ten, eleven, or twelve months.  Salary and work year to be established by the Board.

EVALUATION: Performance of this job will be evaluated by immediate supervisor.
