Responsibilities/Duties: -Organizes and supervises the school in one or more of the following functions: -Processing of purchase orders -Maintenance of budget accounts -Petty Cash -Attendance -Documenting and filing staff evaluations -Maintenance of school or department files -Clerical graduation activities -Bookkeeping or record keeping functions related to functional area procedures. -Student Enrollment -Reception of parents, teachers, and students -Answers telephone/voicemail, handling direct calls in the administration's absence and follows through on the relay of pertinent information. Contacts individuals to whom the administrator wishes to speak. May be required to maintain extensive parent and charter communication. -Assists in sorting and distributing all school/department mail -Schedules appointments determining in advance the purpose of those desiring to see any of the main office staff/administration. -Assists with the organization and compilation of budget requests. -Coordinates calling for repair of computers, office machines and building/department duplicating/copy equipment. -Keeps inventory and maintains supplies of office materials and equipment -Records daily absence of personnel, including teachers, assistants, secretaries, custodians and maintains absence data in CSI Personnel/Payroll record keeping system and substitute calling system. Assist with obtaining substitutes as needed. -Oversees preparation and submission of timesheets for substitute and part-time employees. -May be required to maintain accurate files and records on such things as student referrals, student reports, reimbursement data, and other reports required by the USBE. -Successfully deal with problems involving different variables -Act as a receptionist, greeting visitors, answering telephone calls in a pleasant and efficient manner, and communicating effectively in routine, sensitive, and confidential matters -Make announcements and operate school intercom systems -Administer basic first aid and administer medication when needed -Orients substitute staff
