Library Secretary Job Description
Job Title: Library Secretary-High School
Credentials: None required for this position.
Education: High school diploma or GED
Training or experience required: 1-2 years of secretarial experience. One-year school system library experience preferred.
Reports to: Building Administrator
Contract: 190 days
Salary Schedule: Secretary 2
FLSA Classification: Non-exempt
Essential Job Functions:
Effectively manage all communications between students, school personnel, and other vendors. Type on computer, word processor, or typewriter from rough draft.
Under the direction of the librarians compile and prepare documents, reports and communications. Such reports include but are not limited to purchase orders, requisitions, office correspondence, etc. Prepare and maintain budget sheets for necessary library accounts. Collect and record monies for copying, lost books, etc.
Assist in the ordering and receiving of books, A.V. equipment, supplies, etc. Receive merchandise, inspects against purchase requisition and prepares for processing. Maintain records of company catalogues, purchase requisitions, warehouse orders, etc. Send preview request to Librarian for approval and order.
Process/repair books: catalogue, type cards for card catalogues, insert barcodes and sensors to book. Enter information into computer. File card and books. Replace covers, pockets, and any defects. Determine if books can be repaired. If not, delete cards, sensor labels, and other data from system. Preview books and AV materials as necessary. Prepare materials for the bindery.
Receive visitors, handles telephone calls, and provide assistance or technical information concerning policies, procedures, and other details. Take and deliver messages. May assist in opening and distributing mail.
Work at circulation desk. Check in and out books and other material in library/media center. Maintain cards for Audio-visual checkout. Inspects equipment after returned.
Shelf and straighten books. Perform general housekeeping on library at noon and after school.
Operate modern office equipment including a computer and must have knowledge of both word-processing and spreadsheet software applications.
Assist students with any equipment use. Perform minor preventive maintenance on equipment such as toner, paper, and calling for maintenance when beyond simple maintenance.
Make deposits into library activity account. Maintain records of various accounts.
Prepare office for each school session. Assist with close out activities each school year.
Perform other duties as assigned.
Knowledge, Skills, & Abilities:
Successful performance of the job requires good customer service/people skills and to handle problems and provide information and technical assistance as requested. It requires complying with safety guidelines and policies to reduce accident or injury to staff or to students. It requires following school dress standards, proper attendance or leave policies, and other work-habits concerns for staff. Creativity, initiative and effective problem solving are critical to the success of the position.Help manage the computerization of school district operations. Provide training and support to district staff in the use of administrative computer systems. Perform such tasks to the ultimate benefit of the educational program. An incumbent in this position will utilize discretion, ingenuity and independent judgment due to the complexity of the job. Since there may be several ways to solve a problem, an incumbent is free to choose the solution.
