PRIMARY FUNCTION:
To perform varied administrative assistant functions for three directors in the Department of Teaching and Learning
QUALIFICATIONS:
- High School diploma required, with some college or business school training preferred.
- Experience as an administrative assistant
- Comprehensive knowledge of terminology, procedures, and equipment related to office assistant responsibilities, including financial paperwork and budget oversight
- Proficient knowledge of education terminology and procedures, with knowledge of special education terminology and procedures preferred
- Advanced skills in the use of technology (Microsoft Word and Excel required)
- Advanced oral and written communication skills with the ability to maintain confidentiality
- Ability to maintain clerical records in the Microsoft Office Suite and PowerSchool and to prepare reports from such records
- Has the ability to handle responsibility, work independently, and maintain collaborative working relationships with students, teachers, families, administration, and co-workers
- Advanced organizational skills; detail-oriented
- Ability to work effectively under pressure and to meet deadlines
REPORTS TO:
Director of School Quality, Director of Student Achievement, and Director of Special Education
PERFORMANCE RESPONSIBILITIES:
- Serves as the confidential assistant to supervisors
- Responsible for handling all incoming and outgoing correspondence for supervisors
- Prepare general correspondence/information including letters, memos, and agenda items
- To input, maintain, and create reports from the student information system (PowerSchool) and other online platforms
- Maintain files for all students identified special education in accordance with the Library of Virginia Schedule of records Retention and Disposition
- Prepare and mail all correspondence to parents related to eligibility meetings
- Communicate with SEAC members for meeting reminders
- Record and create minutes for various group meetings
- Monitors and expends funds included in annual budget including maintaining complete and comprehensive financial records
- Answer building-level questions/provide support for attendance tracking and special education records
- To plan, organize, and prioritize office work and complete special projects as assigned
- To perform other related work as assigned
TERMS OF EMPLOYMENT:
Twelve-month position.
EVALUATION:
Performance on this job will be evaluated in accordance with School Board policy and administrative regulations on evaluation of classified personnel.
