Job Title: Site Athletic Coordinator / Activities Director
Credentials: Current Oklahoma Teaching Certificate
Administrator's certificate preferred
Education: Bachelor's Degree in Physical Education or related field. A Master's degree in education is preferred.
Training or Experience Required: Minimum of three (3) years teaching/coaching experience.
Special Skills, Knowledge, Abilities:
Communication Skills (oral, written, or business): Knowledge of grammatical structure, vocabulary for preparing correspondence from rough draft or proofing of completed material. Communicates in clear, grammatically correct English. In addition to above, composes correspondence; trains and directs others and provides complex instructions; conducts interviews. In addition, must use creativity; makes public speeches or presentations or provides complex letters or reports.
Data Recording/Record Keeping: Performs data recording/record keeping operations determining what changes need to be made to existing records, including computerized records.
Mathematical Skills: Performs routine computations requiring a knowledge of addition, subtraction, multiplication and division using whole numbers, fractions, decimals and/or percentages.
Reading and Interpreting: Reads and interprets complex written or printed materials and must be familiar with proper English usage.
Business Machines (like computers, copiers, etc.): Uses business machines requiring thorough competence.
Office Filing and Retrieving: Responsible for establishing and/or maintaining an existing filing system.
Spelling Skills: Incumbent needs to spell correctly and proofreads work of others concerning spelling and grammatical structure.
Typing Skills: Incidental typing/keyboarding is required but no proficiency is required.
Must be able to drive district vehicle or van.

Reports To: High School Principal and District Director of Athletics
Job Goal (Purpose of Position): Organizes and administers the overall program of interscholastic athletics and coordinates activities and facility scheduling at the site level. Performs supervisory/administrative level duties and assist each head coach in the administration of their sport
An incumbent in this position will utilize discretion, ingenuity and independent judgment due to the complexity of the job. Since there may be several ways to solve a problem, an incumbent is free to choose the solution.
Contact with Others: An incumbent in this position has regular contact with persons outside the district which requires tact and diplomacy and independent judgment such as problem solving; making formal presentations; interpreting policies and procedures based on experience; providing counseling, negotiations, or mediation techniques as appropriate. (A supervisor is generally not available to handle irate persons.)
Other Performance Measures: Successful performance of the job requires good customer service/people skills to administer Board policy and direction. It requires encouraging staff and others to follow safety guidelines and policies in order that accident and injury to self and others is minimized. It is critical that incumbent acts as a role model for staff and other concerning district policies of dress, attendance, work habits, etc. It is extremely important that the incumbent use creativity, initiative, and effective problem solving in working with a large number of staff, students with various backgrounds and needs.
Essential Job Functions:
Assists the Athletic Director in the administration of the athletic program at the sites.
Serves as the liaison with the Athletic Director and building Principal for the implementation of the athletic policies and practices.
Plans and coordinates, with the approval of the Athletic Director, the athletic events for each site.
Observes coaching staff to provide feedback, ascertain needs and provide assistance. Encourages and provides staff development opportunities for coaches. Provides in-service and meets with consultant coaches.
Know, follow and enforce all the OSSAA and NCAA rules and policies that govern athletics.
Prepares and maintains appropriate reports and records in accordance with the requirements of the athletic program. Including a Game Management Operations Manual for each sport and facility.
Represents the school at athletic events, conference and state meetings.
Works with the head coach of each sport to facilitate the responsibility of working within the allocated budget.
Works with the head coach of each sport to facilitate the preparation and recommendation for the purchase and/or repair of uniforms, equipment, and supplies.
Supervise the inventory, storage, and care of uniforms and equipment. Assist head coach in completion of an end of season report for each sport.
Works with the appropriate personnel at the site to determine eligibility of new students and the academic eligibility of all student-athletes.
Works with head coaches and the Athletic Director to arrange appropriate game contracts and the hiring of game officials.
Supervises along with the Athletic Director the actual game/event management preparation and implementation that includes gate admissions, security, transportation, officials, workers, facility preparation, etc.
Report all athletic maintenance needs to the Athletic Director.
Works with each head coach and appropriate office personnel to facilitate the movement of our student-athletes from one sport to another during the semester.
Coordinates and schedules all site facility requests.
Coordinates custodial and technical set-up for all scheduled events.
Schedules school assemblies and assist with special events.
Responsible for monitoring activity absences for students.
Schedules “Duty Assignments” for all staff as it relates to individual activities.
Performs other such duties that might fall within his/her jurisdiction or which might be assigned by the Athletic Director or building Principal.
Supervision exercised: An incumbent provides programmatic supervision for each sport and assists principal in direct supervision of Head/Assistant coaches.
Physical/Mental Requirements and Working Conditions:
Maintains emotional control under stress. Employee's job requires manual/visual dexterity or ability to keyboard, to drive, to see, hear and judge instruction of coaches. Must be able to communicate in person and on the phone. Must be able to conduct meetings and in-service training with large attendance. Must be able to attend athletic events and perform inspections and analysis of facilities, fields, and programs.

Contract length: 195 days
