JOB DESCRIPTION
 
TITLE:            FINANCIAL SECRETARY
           
PRIMARY FUNCTION:
 
To assist the school principal by performing responsible clerical and technical work involving the preparation and maintenance of fiscal or related documents for the school.
 
 
QUALIFICATIONS:
 
1.         Any combination of education and experience equivalent to graduation from high school, supplemented by courses in business mathematics and some experience in general office work.
2.         General knowledge of clerical/accounting terminology, methods and procedures.
3.         General knowledge of standard office procedures and practices.
4.         Ability to establish and follow detailed work procedures.
5.         Ability to post accounts with speed and accuracy.
6.         Ability to perform mathematical computations with speed and accuracy.
7.         Skill to use a variety of office machines.
8.         Personal characteristics for working effectively with school personnel.
9.         Flexibility and multi-task oriented.
10.       Experience in EPES activity fund software preferred.
 
 
REPORTS TO:  Principal
 
 
PERFORMANCE RESPONSIBILITIES:
 
            1.         To maintain a complete bookkeeping system for the school.
            2.         To maintain a financial filing system.
            3.         To reconcile checkbook and bank statements, and prepare monthly reports.
            4.         To prepare and reconcile each year for audit.
            5.         To sort, proof, and prepare material for posting and work with the postage machine.
            6.         To check and balance cash and negotiable instruments against receipted copies of bills.
            7.         To track records, accounting statements, and vouchers.
            8.         To prepare a financial summary report of all accounts.
            9.         To prepare all purchase orders and requisitions.
            10.       To check in all shipments of goods relating to purchase orders and requisitions.
            11.       To maintain a supply inventory and order supplies as needed, work with vendors and
                        bid out as required.
            12.       To verify expenditure printouts each month against school records and reports.
            13.       To train all personnel in the proper receipt book procedures for tracking purposes.
            14.       To collect and receipt all funds from teachers/staff and make bank deposits.
            15.       To track and maintain current balances in all central office budget categories, to include
                        Federal Grants.
            16.       To follow through on professional lease budget and reimbursements.
            17.       To maintain and update telephone system as required. 
            18.       To work with professional development forms and registration for training.
            19.       To coordinate school events for administrative staff.
            20.       To perform all other duties as assigned by the Principal or Superintendent.
 
 
TERMS OF EMPLOYMENT:           12 Months
 
 
EVALUATION:
 
Performance on this job will be evaluated in accordance with School Board policy and administrative regulations on evaluation of classified personnel.
