JOB TITLE:                            Band Administrative Assistant

DEPARTMENT:                      Fine Arts

REPORTS TO:                       Director of Fine Arts

FLSA STATUS:                      Non-exempt

CONTRACT STATUS:           Full-time/10 month contract 

SALARY SCHEDULE:          10 Month Administrative Assistant

SUMMARY:  Provide assistance and support for the Owasso Band Program.

 

ESSENTIAL FUNCTIONS: these statements are intended to describe the responsibilities assigned to this position and are not intended to represent an exhaustive list of all responsibilities, duties and skills required.

 
  1. Prepare bus requests for transportation to events.

  2. Secure parent volunteers for band events.

  3. Confirm all performance schedules, on a regular basis.

  4. Prepare requisitions for purchase orders.

  5. Serve as a liaison with Owasso Band Patrons representatives.

  6. Assist in maintaining the Band’s social media presence and website

  7. Handle all phone calls in a polite, informative, and efficient manner.

  8. Prepare written correspondence for band staff.

  9. Report student absences to the attendance offices.

  10. Review and sort all incoming mail.

  11. Help facilitate substitutes for staff who miss class for band events.

  12. Maintain and update the Owasso Band web calendar.

  13. Record financial transactions in the band activity accounts.

  14. Prepare account summaries for student accounts.

  15. Maintain current rosters on all Owasso Band classes.

  16. Assist with special projects

  17. All other duties as assigned by the administrator

EDUCATION and/or EXPERIENCE:

  1. High school diploma or GED

  2. Minimum of one (1) year of administrative experience

 

KNOWLEDGE/SKILLS/ABILITIES:  Computer literate; excellent written and oral communication ability.  Ability to follow all district policies and procedures.  Ability to work independently, displaying initiative and enthusiasm for the tasks being done.  Demonstrating strong communication skills, orally and in writing, with faculty, staff, team members, and administrators.  Ability to work without supervision, and work as a team player.  Ability to manage confidential information in a manner that respects students, families, and employees.  Ability to listen effectively.  

 

LANGUAGE SKILLS:  Ability to read, analyze, and interpret English language.  Ability to communicate effectively with parents, staff, and students

 

MATHEMATICAL SKILLS:  Ability to collect, organize, and interpret data, define problems, and draw valid conclusions

 

REASONING ABILITY:  Ability to apply common sense understanding to carry out written and oral instructions.  Ability to define problems, collect data, establish facts, and draw valid conclusions. 

 

LICENSES and REGISTRATIONS:  Current driver’s license in good standing.

While performing the duties of this job, the employee is frequently required to sit at a desk or in meetings for long periods; using keyboarding skills, working on a computer for long periods.  Long hours and evening activities are required.  Must be able to lift, move, and/or manipulate objects and equipment up to 40 pounds.
