Executive Assistant to the Governing Board

DEFINITION: Provides administrative support and assistance for the Governing Board within Sunnyside Unified School District.ESSENTIAL FUNCTIONS:

Responsible for maintaining a sensitive, high level of confidential administrative support to the Governing Board; facilitates procedural change within the Board office by streamlining processes and procedures; accountable for maintaining Board Policies; maintain records, state laws, and Attorney General Opinions; attends Governing Board meetings, and other meetings as required; accountable for board meetings, preparation, attendance and follow up; posts the meeting schedule for the governing board regarding all meetings, both public and executive; post and distribute Board meeting agendas and notices; prepares agendas and materials for administrative meetings; records and transcribes minutes for meetings listed above; in a sensitive manner, collaborates with and responds to, the Governing Board, District administrators, community and business groups, teachers, and the public.
Provide secretarial and clerical support to the Governing Board; completes district administration correspondence, reports and related materials in appropriate form; prioritizes office and district projects; maintains a schedule of completion; sort and distribute incoming and outgoing correspondence; assist with incoming phone calls from staff, parents, and general public; reviews incoming mail for the board, attaching additional file material needed; routes other items to appropriate offices; makes travel and accommodation reservations for out-of-town conferences or meetings for school board members; research requests from the public and staff, compile facts and inform Governing Board; assist with files and correspondence concerning Governing Board; assist with special projects; other duties as assigned.
KNOWLEDGE, SKILLS AND OTHER CHARACTERISTICS:
Knowledge of District policies and procedures.
Knowledge of daily school office operations.
Knowledge of word processing, spreadsheet and database software programs.
Skill in the use of a personal computer.
Skill in organizing schedules and meetings and preparing letters and reports.
Skill in communicating with the public effectively.
Skill in following oral and written instructions.
Skill in establishing and maintaining effective working relationships.
PHYSICAL REQUIREMENTS: Work is performed in an indoor environment. Work requires frequent sitting, standing, bending, repetitive motion, vision to monitor and lifting up to 15 pounds.
High school diploma or general education degree (GED)
Three to five years of related experience in a school district or for a major corporation.
An equivalent combination of training and education may substitute for some experience.
Bilingual English and Spanish
Experience with Robert’s Rules of Order
Experience with Open Meeting Law
Excellent customer service skills with proven experience working with stakeholders in a school district, municipality or major corporation
Depending on the needs of the District, some incumbents in this class must be able to demonstrate fluency in both Spanish and English as a condition of employment.
Salary Grade: 20 Hourly Pay: $20.36 Hours per Day: 8 Days in Contract: 260 Start Date: 2021/2022 School Year
