SCHOOL SECRETARY
Hiring Pay Range: $16.23 - $17.22 per hour, DOE
Summer Schedule: Monday - Thursday, 7:00am - 5:30pm
School Year Schedule: Monday - Friday, 7:30am - 4:00pm
40 hrs per week, 11 months per year, 233 paid workdays per year
Location: Catalina Foothills High School

Summary: Under general supervision of a school Principal, performs secretarial work of moderate difficulty.

Tasks: Processes a wide variety of paperwork including leave requests, purchase requisitions, work orders, travel requests, field trip requests, attendance, payroll, requests to borrow materials, injury reports, student activity forms, and student screening forms. Performs secretarial duties for the Principal, including scheduling appointments, processing incoming mail, word processing, copying, answering phones, checking references for new personnel, producing and distributing weekly staff bulletins and school newsletter. Assists with signing visitors and volunteers in and out.
Assists in administering the budget. Obtains cost estimates, maintains supply inventory and orders supplies. Enters data into and monitors the accounting system. Generates bank deposits for student activities, replacement bus cards, library activities and gifts/donations to the school. Records staff absences and coordinates substitutes assigned to the school, including class coverage, substitute no-shows and associated paperwork. Processes and maintains payroll records for classified staff.
Plans, coordinates and administers summer registration, registers and withdraws students, compiles registration database and processes registration funds. Maintains cumulative files, custody files and mandated registration reports. Coordinates school activities with FFO. Serves as liaison between school staff and school administration and interfaces with all levels of operations at the district office as needed.
Assists other office staff with answering phones, signing students in/out and daily attendance. Works with parents regarding bus transportation and locating children. Coordinates pest control for site, including responding to questions and concerns and meeting public notification requirements. Serves as back up for health assistant as needed. May coordinate the activities of assigned office support staff. Performs other related duties, as assigned.
Knowledge, Skills and Other Characteristics:
Knowledge of office practices and procedures
Knowledge of state and CFSD registration guidelines and policies
Knowledge of CFSD policy and procedures manual; accounting codes; and parent, student and staff handbooks
Skill in using word processing software and performing accurate data entry
Skill in communicating effectively, orally and in writing
Skill in establishing and maintaining effective working relationships with staff, administrators, students, parents and the general public
Minimum Required Qualifications:
High School diploma or GED and two (2) years of secretarial experience.
