ADMINISTRATIVE ASSISTANT TO THE EXECUTIVE DIRECTOR OF CURRICULUM AND ASSESSMENT
Hiring Pay Range 43:
$26.25 to $27.86 per hour, DOE
Schedule: Monday - Friday, 7:30 am - 4:00 pm
40 hours per week, 12 months per year, 261 paid days per year
Location: Murphey Administration Center
Target Start Date: 1/21/2025

Definition: Under the supervision of the Executive Director of Curriculum and Assessment, performs skilled administrative support for the Executive Director of Curriculum and Assessment and the Director of Professional Learning.

General Responsibilities:  

  • Provides daily administrative support to the Executive Director of Curriculum and Assessment and Director of Professional Learning, including: accurately and efficiently preparing correspondence and reports; answering, screening, and/or routing phone calls; scheduling appointments; generating presentations; preparing spreadsheet documents; maintaining files and required office records; sorting and distributing mail; and processing appropriate district forms for department personnel actions, travel requests, and purchasing requisitions.
  • Adheres to procurement practices when communicating with vendors and ordering materials.
  • Reviews site requisitions to determine urgency, verify funding availability, and contact vendors for quotes.
  • Enters requisitions, processes, and distributes purchase orders to the vendor; processes change orders to purchase orders when necessary.
  • Assists in coordinating updates to curriculum, working closely with the Executive Director of Curriculum and Assessment and curriculum revision committees.
  • Assists the Executive Director in determining funding budget loads for new fiscal years, including site budgets and professional development.
  • Maintains department budgets, tracking expenditures in relation to budgeted funds, maintaining supply inventory, and ordering supplies and equipment.
  • Monitors grant expenditures in relation to budgeted funds.
  • Organizes state achievement testing through distribution and processing of required documents, including Test Coordinator and Test Administrator Manuals, and headphone distribution.
  • Acts as a resource to staff and the public and serves as a liaison between staff/public and the administrator.
  • Prepares travel packets and facilitates travel arrangements for administrators and teachers traveling for curriculum and professional development purposes, including investigating and coordinating airline and hotel reservations; reviews and processes travel expense reimbursements and site mileage reimbursements.
  • Assists with special projects as assigned and performs other tasks unique to the department.
  • May assist other district departments with projects and support as schedule permits.

Knowledge, Skills, and Other Characteristics
  • Knowledge of general principles and practices of public administration
  • Knowledge of office practices and procedures
  • Knowledge of district technological tools used by the administrative assistant
  • Knowledge of software programs Excel, Word, Adobe Acrobat, and PowerPoint
  • Knowledge of statutes, regulations, and guidelines regarding curriculum, assessment, and the maintenance of records
  • Knowledge of CFSD goals, objectives, policies, procedures, and regulations
  • Skill in communicating and working collaboratively with administrators, principals, secretaries, and teachers
  • Skill in establishing and maintaining effective relationships with district- and school-level staff, administrators, teachers, community members, parents, outside vendors, and sales representatives
  • Skill in using multiple software programs and performing accurate data entry
  • Skill in researching and analyzing information, ability to create financial and statistical reports using spreadsheets
  • Skill in organizing and prioritizing work and consistently meeting deadlines
  • Skill in communicating effectively, orally and in writing
  • Skill in working with office equipment, including photocopiers, printers, and/or scanners
  • Ability to work independently with minimal supervision, maintaining confidentiality when required
  • Time management skills, organizational skills, and ability to multitask

Minimum Required Qualifications
High School diploma or GED and three years of administrative support

Preferred Qualifications
Proficiency with Mac operating systems
Experience with Munis accounting software
