Position Title: Regional Registrar
Position Department: SSS Department
Reports To: Student Membership Asst. Director of SSS Department


The role of the Regional Registrar is to support and ensure campus efforts to maintain accurate student registration and attendance information in the student information systems. The Regional Registrar assists with and oversees the campuses registration activities.  Additionally, the position is responsible for hiring, training, supervising and supporting campus registrars and front office secretaries and serves as a specialist in the field of customer service and front office policy and procedures. This position will conduct formal and informal internal audits providing data, records and reports needed to complete required external audits.


The Regional Registrar will be responsible for the supervision and management of:
  • A client load of 15-20 schools, serving as the primary point of contact regarding:   
Manages Campus Registration via registration of new and returning students
  • Registration Plan
    • Communicate annual registration plan and calendar
  • Schoolmint/OLR
    • Assist in updating forms on annual basis
    • Add/Delete Staff
    • Manage user permissions
  • Regularly audit Schoolmint/OLR communications and processes

  • Registration Activities
    • Maintain enrollment counts for each designated campus
    • Monitors new registrations, withdrawals, attendance
    • Provide assistance with school events (MTT, BTSN, etc.)
    • Track, analyze and communicate registration data
Conducts and Facilitates Campus Audits:
  • Perform monthly attendance audits
    • Communicate results with identified staff
  • Perform quarterly membership audits on site
    • Communicate results with identified staff
  • Reconcile new school year registration data between PowerSchool, Schoolmint and the PHL
    • Communicate results with identified staff
  •  Conduct informal audits on processes and procedures
    • Communicate results with identified staff

  • Provide internal auditors with requested items/reports, etc.
  • Review and audit all documentation requested by internal auditors
Hire, Train and Support Campus Registrars:
  • Utilize new registrar training checklist and training plan for each staff member
  • Provide initial and ongoing training for campus registrar
    • Lead regular registrar meetings
    • Maintain related meeting documentation (agenda and minutes)
    • Provide remediation training as necessary
  • Write, update and maintain policy, procedures and process documentation
    • Author all new policy, procedure and process documents
      • Registration, attendance, withdrawals
    • Regularly review policy and procure documents for accuracy and integrity
    • Communicate policy changes and updates
    • Maintain M drive folders and table of contents
Local and in-state travel required


Education, Certification and Experience
  • Bachelor’s degree a plus
  • 2-5 years’ experience as a campus registrar
  • Proficient in PowerSchool
  • Understanding of state registration and student reporting requirements
  • Proficient computer skills in Microsoft Office, Outlook, Google, Skype, GoToMeeting, etc.
  • Very strong written, oral, and interpersonal communication skills

  • The incumbent in this position will be required to pass a criminal history background check
  • Must be able to obtain and hold a valid IVP Level One Fingerprint Clearance Card at all times


  • Travel between campuses is required from time to time.
  • This position requires the need to lift objects (up to 25 pounds) on occasion.
  • This position may require sitting for long periods at times, talking on the phone, standing, kneeling, stooping and long periods of concentration.
  • Local and instate travel required.
